Ancillary 

NHF must be informed of any function companies plan to hold around the conference dates. The 2023 conference venue has been directed to contact Maria Salas-Pilla, Vice-President of Conference & Travel Services, for approval of all exhibitor-sponsored special events, ancillary functions, round tables and market research/focus group requests to be held during NHF’s Bleeding Disorders Conference and its shoulder dates.

 
BOOKING CONDITIONS AND INSTRUCTIONS
  • NHF Conference & Travel Services Department will reply to your request within 2 working days of its receipt.
  • Requests for ancillary events will be considered on a first come, first served basis and must be made via the Ancillary Event Request Form. 
  • Function space for ancillary events will be assigned by NHF Bleeding Disorders Conference Organizer.
  • Each day of a multi-day event will count as one event. (For example, if you'd like to host a meeting Thursday and Friday, that will count as two separate events).
  • Ancillary fees will be charged upon confirmation of the space.
  • Deadline to submit an Ancillary Request Form is April 14, 2023
  • Ancillary space location and name will be confirmed on May 12, 2023.
  • Ancillary event fees are non-refundable.
REGULATION FOR FUNCTIONS 
  • To maximize access to the Exhibit Hall, no activities will be permitted on Thursday evening, August 17, 2023 before 8:30 p.m.
  • No activities will be permitted on Friday, August 18, 2023 from 5:30 to 8:00 p.m.
  • No activities will be permitted on Saturday, August 19 2023 from 3:00 to 8:00 p.m.
  • Any dinner/event hosted for more than 80 people at the conference venue will be considered a networking event – networking event fees will apply.
  • Any dinner/event (on-site or off-site) including educational functions for more than 80 people will require NHF's approval – symposium fees will apply.
  • Any onsite/off-site dinner/event hosted for 25 people and less than 79 people will require NHF's approval – event fees of $5,000 will apply.
  • Any off-site dinner/event hosted for more than 80 people will require NHF's approval – event fees of $10,000 will apply.
  • Round table session capacity is limited to max. 25 people. Focus Group are limited to max. 20 people.
  • Companies violating NHF's Regulation for Functions will face a penalty of $10,000.
  • Posters/Signs: Companies hosting dinner/reception during NHF’s Bleeding Disorders Conference may advertise their event by displaying 1 self-standing poster. Poster cannot be larger than 24” x 76”. Companies are only permitted to place self-standing signage/posters at the entrance of their event room, which may only be up one (1) hour prior to the start of the event and must be removed immediately afterward. Signage around conference sessions area are not permitted. Sponsors are prohibited from removing or moving the signage of other companies to place their own signage.
  • No refunds. 
  • Regulations apply during shoulder dates (3 days prior/ 1 after BDC live dates)
  • NHF will charge an additional fee of $500 for poster displayed beyond the authorized areas or schedule.
