The Partnership 2013: Where Faith and Disability Meet

Thank you for considering exhibiting at the National Catholic Partnership on Disability (NCPD)’s Partnership 2013.  We are expecting approximately 400 attendees, consisting of:

 Persons with disabilities, their families, friends and care providers

Priests, Deacons, Seminarians and Religious

 Catholic school administrators and educators

Parish catechetical leaders and catechists

Pastoral and social justice ministers

All with a heart for disability ministry

This is an excellent opportunity to showcase your products, services and ministries to those who care deeply about Catholic disability ministry, and who will be creating the future of ministry at the parish, (Arch)diocesan, regional and national levels.   Among attendees will be Church leaders representing fourteen million Catholics with disabilities in the United States.  Partnership 2013 is the ideal venue to network with a diverse audience.

Presentations will be offered in English and Spanish, with interpreting available for the Deaf and audio-description for individuals who are blind or visually impaired.  Attendees will participate in learning sessions on a variety of topics, including:  bioethics, mental illnessevangelization, autism, developmental disabilities, Deaf/hard of hearing, inclusion in Catholic schools, sacramental preparation, family support in a multicultural environment and more.

FREQUENTLY ASKED QUESTIONS / TERMS AND CONDITIONS

1.      Who can exhibit at Partnership 2013?

NCPD welcomes both non-profit and commercial organizations offering services, products or ministry that aligns with the vision and mission of NCPD and the teachings of the Catholic Church.  Exhibition space is limited, apply early. NCPD reserves the right to select or decline any application.  To apply, each exhibitor must submit the required forms, payments, electronic information and other items as noted.  Completion of the Exhibitor Application indicates acceptance of NCPD’s terms and conditions for exhibitors.

Rooted in Gospel values that affirm the dignity of every person, the National Catholic Partnership on Disability (NCPD) works collaboratively to ensure meaningful participation of people with disabilities in all aspects of the life of the Church and society.

 

2.     Types of Exhibits

 

Your exhibition will reach a wide range of individuals.   We welcome exhibits featuring faith-based publications, curriculum materials, particularly those that include adaptations for individuals with disabilities, assistive technology and adaptive equipment, religious books and articles, artistic items, crafts, and opportunities for ministry, advocacy, professional advancement, or volunteering.  Partnership 2013 is committed to a fully bilingual format, so materials in Spanish will be of special interest.

 

3.      Promotion of Exhibitors

 

To promote your exhibit, provide a description of your organization in 50 words or less.  This description will be showcased in the Partnership 2013 Program and website, hotlinked to your website.  Throughout Partnership 2013, attendees will be invited to visit your exhibit.  To generate interest, Exhibitors are invited to provide a door prize valued at $25 or more.  Exhibitors who wish to include a logo, please provide a high quality pixel .jpg, .png or .pdf to Carol Ruddell at cgruddell@comcast.net.

 

4.      Exhibit Times

 

Main exhibit times will be:

Friday, November 1 Noon - 4:30 p.m.

Saturday, November 2, 8:00 a.m. – 6:00 p.m

Attendees will be encouraged to visit exhibits during lunch and morning and afternoon breaks of 30 minutes each.  A reception (included in the conference registration fee) will also be held on Saturday from 4:30 PM to 6:00 PM in the exhibitor area with food, drinks and door prizes to draw attendees to your exhibit.  We expect this to be very well attended. 

 

5.   Exhibitor’s Fees

 

Pricing of exhibition space is differentiated by For-Profit and Non-Profit Organizations:

 

For-Profit Organization

      First Table (4’ by 6’):  $400. 

Additional tables are $200 each.

Maximum of three tables per Exhibitor.

 

Non-Profit Organization:

      First Table (4’ by 6’):  $250. 

Additional tables are $200 each.

Maximum of three tables per Exhibitor.

6.      Exhibit Display Area

 

  • Displays will consist of table tops. 
  • Two chairs will be provided per exhibit space.
  • Exhibitor is responsible for security of exhibit.
  • NCPD will designate the location of Exhibitor tables.
  • NCPD reserves the right to limit displays to those which support NCPD’s mission and the teachings of the Catholic Church.
  • Electricity is available as needed; if fees are charged by the hotel, they are the responsibility of the exhibitor.

 

7.   Set Up, Exhibit Hours and Removal


Set up Times:

Friday, November 1, 2013, 10:00 a.m. to Noon.

Saturday, November 2, 2013, 6:00 a.m. to 8:00 a.m.


Exhibit Hours:

Exhibiting is optional on Friday, between Noon and 4:30 p.m., as participants are arriving.  You are expected to staff your exhibit on Saturday, November 2 from 8:00 a.m. to 6:00 p.m.

 

Removal of Exhibit:

All exhibits shall be removed no later than 11:00 PM Saturday, November 2, 2013.  Please do not remove your exhibit before 6 p.m. on Saturday, November 2, 2013. Neither NCPD nor the Houston Marriott Westchase will be responsible for items left after 11:00 PM November 2, 2013 or for items that are lost, stolen or missing.  Each Exhibitor is responsible for removal of their materials.


8.   Exhibitor Shipment to the Houston Marriott Westchase

     

      Once your application is accepted by NCPD, shipment information will be provided.

 

9.   Securing Your Exhibit during the Partnership 2013 

 

All security is the responsibility of the Exhibitor.  Neither NCPD nor the Houston Marriott Westchase will be responsible for items that are stolen or missing.

 

10.  Certificate of Insurance

 

The Houston Marriott Westchase requires proof of liability insurance.  You must submit a copy of this to NCPD before you will be allowed to set up your exhibit.

 

11.  Deadline and Payment

 

Submit your application no later than September 20, 2013.  Applications will be reviewed and a response provided no later than September 20, 2013.  Upon approval, you will be invoiced for the full amount payable no later than September 20, 2013.  Payment may be made online or by check to the NCPD, 415 Michigan Avenue, N.E., Suite 95, Washington, D.C. 20017-4501.


NCPD will confirm receipt of payment.

 

12.  Cancellations

 

Any cancellations received prior to October 1, 2013 will have one-half of the registration fee refunded.  Cancellations after October 1, 2013 are not refundable.
