2023 Event Policies 

Cancellation  

Registrations are 100% refundable up to 30 days prior to an event, except for a $100 mandatory processing fee. After this period (less than 30 days prior to the event), refunds will not be granted or processed.  

Transfers and Exchanges  

Registration transfers and exchanges can be handled up to 30 days prior to the start date of the event by contacting Registration@outandequal.org

Executive Forum Specific Registration Policies 

Cohorts, or Learning Track Groups, are filled on a rolling basis. Registration transfers are not guaranteed the same cohort seat as originally booked but will be determined on a first-come, first-serve basis using the same intake information required during the original registration.  

Privacy Policy  

Your data privacy and security are important to us. When you register for this event, Out & Equal will process your data in accordance with our legitimate interests for hosting an industry event and for being a community-based organization. Liability Waiver + Be Well Agreement  

As a condition of my participation in this meeting or event, I hereby waive any claim I may have against Out & Equal and its officers, directors, employees, or agents, or against the presenters or speakers, for reliance on any information presented and release Out & Equal from and against any and all liability for damage or injury that may arise from my participation or attendance at the program. I further understand and agree that all property rights in the material presented, including common law copyright, are expressly reserved to the presenter or speaker or to Out & Equal. I acknowledge that participation in Out & Equal events and activities brings some risk and I do hereby assume responsibility for my own well-being. If another individual participates in my place per Out & Equal transfer policy, the new registrant agrees to this disclaimer and waiver by default of transfer.   

I understand that travel and gathering involves risk of sickness, including sickness from COVID-19. I (and on behalf of my guest(s)) waive and release Out & Equal and its sponsors, and their employees and agents, from and against claims, liabilities and expenses arising from injury, sickness or death from contraction or spread of COVID-19 or other communicable disease due to travel to or attendance at an event sponsored by Out & Equal.   

I will take necessary precautions while at the event including, but not limited to, engaging in appropriate social distancing, wearing a mask when requested and/or required, minimize face touching, frequently washing hands and avoiding risky environments such as overcrowded bars or restaurants. I agree to not attend any Out & Equal event if I feel ill or had recent exposure to a COVID-19 case.   

This waiver and release is binding on me and my heirs and successors.   

Health & Safety 

Out & Equal will be following guidelines set forth by state, federal, and local governments. At this time masks and vaccines are not required to attend this event. As the state of public health information is fluid, we encourage attendees to frequently check this page, as policies and mandates are subject to change. If I feel ill or had recent exposure to a COVID-19 case, I agree to not attend any Out & Equal event.  

What to Watch Out For  

Symptoms of COVID-19 include fever, cough, fatigue, shortness of breath, and myalgias. Other non-specific symptoms, such as sore throat, nasal congestion, headache, diarrhea, nausea, and vomiting, have also been reported. Loss of smell (anosmia) or loss of taste (ageusia) preceding the onset of respiratory symptoms has also been reported.    

Disclaimer and Waiver   

Photography and Videography 

By entering the event premises, you consent to interview(s), photography, audio recording, video recording and its/their release, publication, exhibition, or reproduction to be used for news, web casts, promotional purposes, telecasts, advertising, inclusion on websites, social media, or any other purpose by Out & Equal and its pre-approved affiliates and representatives. Images, photos and/or videos may be used to promote similar Out & Equal events in the future, highlight the event and exhibit the capabilities of Out & Equal. You release Out & Equal, its officers and employees, and each and all persons involved from any liability connected with the taking, recording, digitizing, or publication and use of interviews, photographs, computer images, video and/or or sound recordings.

By entering the event premises, you waive all rights you may have to any claims for payment or royalties in connection with any use, exhibition, streaming, web casting, televising, or other publication of these materials, regardless of the purpose or sponsoring of such use, exhibiting, broadcasting, web casting, or other publication irrespective of whether a fee for admission or sponsorship is charged. You also waive any right to inspect or approve any photo, video, or audio recording taken by Out & Equal or the person or entity designated to do so by Out & Equal.

Code of Conduct and Community Guidelines  

Out & Equal events are designed to increase interaction, engagement, collaboration, connectivity, and community, in a fun and safe learning environment.   

We value the participation of each member of the community and endeavor to deliver an enjoyable and fulfilling experience. Conference participants are expected to conduct themselves with integrity, courtesy, and respect for others and maintain the highest level of professionalism at all conference programs and events, whether officially sponsored by Out & Equal or not.   

All attendees, guests, speakers, organizers, volunteers, partners, vendors, and staff at any Out & Equal event are required to observe the following Code of Conduct.   

All communication should be appropriate for a professional audience including people of diverse backgrounds and cultures. Sexual language and imagery are not appropriate for the conference.   

Safe Space   

Out & Equal events are intended to be a safe and welcoming space for all individuals, inclusive of all sexual orientations, gender identities and expressions. Please treat everyone with respect. Healthy debates are natural, and kindness is required. Degrading comments on/about topics such as race, religion, culture, ability, geographic or political affiliation, sexual orientation, gender, or identity will not be tolerated. In addition, we seek to uphold a safe space in which speakers and attendees can share real life experiences – these may include traumatic experiences that, for some, is difficult to take in. We encourage attendees to take the space they need should these topics arise.     

Call In, Not Out   

This is an educational space and there are varying degrees of familiarity and fluency with identities, expressions, concepts, and language. We ask that attendees try to be grounded in the positive intent of others’ learning experiences. Look for opportunities to call people in, rather than out. This means engaging people one-on-one at times when they express themselves in ways that may run counter to one’s own style or preferences.  We are all learning from each other.   

Identity Stays, Knowledge Leaves   

Being part of the Out & Equal community requires mutual trust. We take rigorous precautions to keep attendees safe both at our In-Person and virtual Events, however, we welcome people sharing their experiences, learnings, and giving shout-outs on social media. We encourage you to show up as your authentic self and trust that information shared in this community stays in the community, while also understanding that there is an inherent risk in sharing personal information at a forum this size. Video-recording live sessions (via your computer or handheld device) or taking photographs/screengrabs of live conversations and messages is not permitted. Please honor the trust of those who have shared themselves, just as you would want from them in return.   

Code of Conduct/Community Guideline Violations   

Should you not abide by the above criteria, Out & Equal reserves the right to take action to address the situation. This could result removing you from a session, and/or revoking your conference attendance.
