Program Inclusions 

What is included in this program? 

  • Roundtrip, economy-class airfare for you and one guest in accordance with the Global Travel Policy
  • Roundtrip airport transportation to and from the Grand Hyatt Baha Mar
  • Double occupancy guest accommodations for four nights
  • Breakfast on Thursday
  • Dinner on Wednesday, Thursday, and Friday

  • One activity choice per person on one of the Optional Activities days

What is not included in this program?

  • Any costs associated with travel outside of the main program dates, including airport transportation, accommodations, meals, and airfare upgrades or differentials (if applicable).
  • All items of a personal nature including mini bar, gift shop, laundry, telephone calls, and alcohol during non-group functions.

Are children or additional guests permitted to attend at my own expense?
Children under the age of 21 and/or additional guests are not permitted to attend, even at your own expense.

 

Online Registration 

What if I need to make a change to my registration after I’ve submitted it? 
If you would like to make a change to your registration, contact a Travel Program Specialist by phone at +1 732.379.6333 or send your request via email to travelspecialist@nxlperformance.com. Be sure to mention “FIS President’s Club” in the subject line. Our friendly specialists answer the phone 9:00 a.m. – 5:00 pm ET (GMT-5).

Why are my full legal name and date of birth required for registration? 
Your name, date of birth, and gender are required by airlines in order to book your flights.
IMPORTANT: Names submitted during registration must exactly match the photo ID you will use while traveling. If they do not match, you may be denied boarding by your carrier.

 

Identification 

What are the identification requirements?
A passport (valid for at least six months after travel) is REQUIRED for travel to and from Nassau, Bahamas.

A small number of origin countries do require a visa to enter the Bahamas. Please visit https://mofa.gov.bs/evisa-online-services/ to see if the country you hold a passport for is on the list. If a visa is required, select the “self-sponsored” category, and allow 7-10 days for processing.

If you do not have a passport or need to renew your passport: Rules and application forms will vary depending on whether you are applying for a passport for the first time or if you need to renew your passport.

U.S. Residents: Visit http://travel.state.gov and select “Get a U.S. Passport”.

Non-U.S. Residents: Visit your official government website.

Non-U.S. Citizens traveling from or through the U.S.: Make sure to bring your proof of legal U.S. residence (resident card, for example) along with your foreign passport. Visas may be required. Please contact your nearest consulate for further information.

What is the Visa Waiver Program (VWP) and the Electronic System for Travel Authorization (ESTA) for non-U.S. citizens?
The Visa Waiver Program (VWP) is administered by the U.S. Department of Homeland Security and allows eligible citizens or nationals of designated countries to travel through or to the United States for tourism or business for stays of 90 days or less without first obtaining a visa. The Electronic System for Travel Authorization (ESTA) is an automated system that assists in determining eligibility to travel to the United States under the Visa Waiver Program. Although you may be originating from a non-ESTA country, this visa is still required if your passport has been issued from an ESTA country. If your flights connect via the United States enroute to or from Nassau, Bahamas, an ESTA visa is required if you are a passport holder from a participating ESTA country.

The online application process is simple and costs $21. Although there are several websites that can process your application, the U.S. Customs and Border Protection website is the only official and most cost-effective site for application. https://esta.cbp.dhs.gov/esta/

Air Transportation

FIS Global Travel Policy
To ensure compliance with policy, FIS employees must submit a travel authorization request. Visit the FIS Global Support Center (you must be connected to your internal network to access this site), navigate to Global Business Travel and submit a travel authorization request under Request Approval to Travel. Guests are not required to complete this authorization.

Flights will be booked by the program travel agency in accordance with FIS business travel rules and will be billed directly to FIS. You do not need to provide a credit card for yourself or your guest (unless for an upgrade outside of business rules). Please do not book travel outside of the program travel agency. This will not be a reimbursable expense.

Am I guaranteed my first choice of airport and/or airline? If not, why do I have to fly from a particular airport or on a particular airline?
Every effort will be made to accommodate your preferred airline, airport, and special requests, but these requests cannot always be granted. While the air travel consultants strive to book the most convenient and cost-effective flights, sometimes connections are unavoidable because of flight availability and cost. If you are extending your stay, any additional costs will be verified with you prior to booking. Costs quoted are not guaranteed until tickets are issued.

When will I receive my flight itinerary and tickets? 
An air travel consultant will contact you with a recommended itinerary for your approval within five business days of receiving your completed registration. Your approval is required within 24 hours, after which the itinerary automatically expires. Please confirm your air travel as soon as possible.

You are highly encouraged to download your carrier’s mobile app for easy access to your flight information and potential changes. Be sure to subscribe to push notifications for your flights so that you are always informed.

What if I need to change my flights? 
Contact an air travel consultant by phone at +1 732.379.6282, Monday – Friday, between 9:00 a.m. – 5:00 p.m. ET (GMT-5), or send your request via email to airtravel@travelinc.com.

NOTE: Changing flights once they’ve been booked may result in change fees and a potential cost differential, which is imposed by the airlines. You will be responsible for any such costs unless a previous arrangement has been made with FIS.

What is the name and code of the airport I will be flying to? 
You will be flying to Lynden Pindling International Airport. The airport code is NAS.

 

Luggage, Packing, and Preparing For Travel

What is my carrier's luggage policy? 
Most airlines charge a set price for checked baggage up to 50 pounds. You may incur additional charges if your checked bag exceeds the airline’s maximum weight. Generally, each passenger is permitted one personal carry-on item that fits under the seat (handbag, laptop bag, etc.), and one bag which must be small enough to fit in the overhead compartment. Please check with your carrier for their specific policy.

What is the FIS luggage policy?
The baggage allowance guidelines specified within your ticket conditions SHOULD be followed. FIS permits travelers to purchase one checked bag when traveling on airlines that do not include any checked baggage free of charge. Additional baggage allowance purchased for non-business purposes SHALL NOT be reimbursed.
 

Where should I check my luggage? 
Check luggage from your home airport to Nassau, Bahamas. Claim checks should read NAS.  

Where should I pack my prescriptions and over-the-counter medications? 
Pack any prescription medications in their original bottles in your carry‑on bag. Checked luggage can get delayed, usually temporarily, but sometimes temporarily is too long to go without a prescription. Medications are allowed in reasonable quantities exceeding three ounces. These items must be presented for inspection at the security checkpoint.

Should I bring credit cards?
All resorts and hotels require a valid major credit card upon check-in to open an incidental account. This allows you full access to the resort’s facilities and the ability to post charges to your room account. It is not recommended to use a debit card, as a hold may be placed, which is often inconvenient. Please do not present a corporate card, as personal incidental expenses will not be reimbursed.

Is insurance included? 
Insurance is included under the FIS Business Travel Accident Insurance. Please click Benefits Information - Business Travel Insurance via AIG - All Documents (sharepoint.com) to access a copy of the policy details. Please note, you must connect to the FIS network to access this document.

When should I arrive at the airport to check-in for my flight?
Be sure to leave yourself plenty of time for check-in and security. It is recommended to arrive at the airport a minimum of three hours prior to your scheduled departure time.

 

Transportation 

How do I get from the airport to the resort? 
There will be plenty of staff at the Lynden Pindling International Airport to assist you when you arrive on the main program arrival date, Wednesday, March 8. They will be outside holding FIS President’s Club signs as you exit.

What is the distance from the airport to the resort? 
The resort is 6 miles (14 minutes) from the NAS Airport.

 

Extended Stay in Nassau

What is the room rate to extend my stay at the Grand Hyatt Baha Mar? 
The room rate is $408 (including resort fee) plus tax per night to extend three days prior to or following the main program dates, March 8 – 12, 2023. These preferred rates are subject to availability at the time of the request.

Are airport transfers provided if I choose to extend my stay in Nassau, Bahamas? 
Transportation is provided on the main program arrival and departure dates only: March 8 and March 12, respectively.

What is the recommended mode of transportation, should I choose to travel outside of the main program dates?
A non-exclusive hotel shuttle is recommended between the airport and resort. For details on pricing and how to arrange service, please visit the resort’s website by clicking here.

 

Grand Hyatt Baha Mar 

What are the check-in and check-out times at the resort? 
Check-in time is 4:00 p.m. Check-out time is 11:00 a.m.

What if I have special physical or dietary needs? 
You can advise us of any special dietary needs you may have in the “Additional Comments and Requests” box on the Personal Information page of your registration. For physical needs, there is also a “Limitations, Disabilities, or Health Concerns” box. Should your physical or dietary needs change, please email travelspecialist@nxlperformance.com.

What are the bed types in the guest rooms? 
Grand Hyatt Baha Mar has an assortment of king and queen/queen bedded rooms. We will do our best to accommodate your preference.

Does the resort have a spa and fitness center? 
ESPA Baha Mar is open 9:00 a.m. – 6:00 p.m. daily.

The Baha Mar Fitness Center at ESPA is open 6:00 a.m. – 8:00 p.m. daily.

 

Nassau, Bahamas 

What is the time difference?
Nassau, Bahamas is on Eastern Time and observes Daylight Saving Time.

What is the currency in Nassau, Bahamas?
The currency is the Bahamian dollar, but the U.S. Dollar is widely accepted, so for those originating in the U.S., there is no need to exchange currency. Keep in mind that small denominations are easier for merchants to accept. The exchange rate is roughly 1 Bahamian Dollar to each U.S. Dollar but changes daily.

Will my cell phone work in Nassau, Bahamas? 
All major cell phone providers offer service in Nassau, Bahamas. You may need to adjust your calling plan accordingly. Be sure to check with your provider for details before you leave.

If returning to the U.S., is there a limit on the amount of goods or merchandise that I can bring back from Nassau, Bahamas?
U.S. Customs allows for a set amount of duty free “accompanied baggage” per person. Additional goods beyond your allowable accompanied baggage will be subject to tax. For more detailed information, please visit https://www.cbp.gov/travel/international-visitors/kbyg/customs-duty-info.
