The Annual Meetings 2021 Housing will close at October 21, 2021. 
Please make all changes and/or cancellations by  11:59 ET, October 21, 2021.
 
Once the housing block has closed, the Annual Meetings Housing Bureau will compile the lists and send them to the individual hotel properties to upload into their system.  This usually takes 7-10 days, so chances are if you need to make changes or cancellations between October 22 and November 3 and call the hotel directly they will not have your information. 
 
We will provide a list of hotel phone numbers and dates they may be contacted to make changes after the housing has closed here, as soon as they are made available to us.

To receive the Annual Meetings 2021 special discount rates, you must register for your hotel stay during the registration process.  Do not call the hotel directly as they will not give you the special discounted rate.

What is the headquarters hotel for the Annual Meeting?

There isn’t one specific headquarter hotel this year. AAR and SBL sessions will be held primarily in the Henry B. Gonzalez Convention Center, and surrounding hotels. The Book Exhibits will be held at the Henry B. Gonzalez Convention Center. The Employment Center will be held at the Hyatt Regency San Antonio (#10 on hotel map) Other Events and receptions will be held primarily at the surrounding hotel properties.

The dates I want to reserve are not available for the hotel I want.  What do I do?
 
If you are booking between the dates of November 19-24, and a particular hotel you would like to reserve does not show, it means the hotel has sold out of the discounted rooms available on one or more of those dates.  Please choose another hotel that has the dates you need available.
 
If you are wanting to book additional nights either before or after November 19-24, first find a hotel that has all other dates available, then put a request in the special request field for any additional shoulder nights you will need.  For example, if you need a hotel room November 17-November 26, you will first need to find a hotel that has November 19-24 available.  Then, in the special requests field, please indicate that you wish to have additional nights to check in November 17 and to check out November 26.  The Annual Meetings Housing Bureau will contact the hotel to see if the hotel can extend those dates to you at the special Annual Meeting rate.  If so, the Housing Bureau will update your registration and send you an updated confirmation with the revised dates.  If the hotel property cannot extend those dates, the Annual Meeting Housing Bureau will contact you.  Please give the Housing Bureau 5-7 business days to communicate with you.  Please do not contact the hotel directly as they will not honor the special Annual Meeting rates.

I'm booking a hotel room and have a roommate who is also attending the meeting. Do we need to book our hotels separately and indicate each other as a roommate?

No, you will need to only book one hotel room and indicate your roommates' names where requested. You may work with the hotel directly upon check in to discuss splitting the room costs. The card requested during registration is used to hold the room only.

I've contacted the hotel directly and they do not have my information

AAR and SBL currently manage the hotel room blocks. No specific information is sent to the hotels until after November 7, therefore the hotels will not have your information until then. If you need to make any changes to your reservation, please do so by following the instructions listed in your confirmation email prior to October 21.

I wish to book a suite at a particular hotel, what do I do?
 
If you wish to book a suite, first book a hotel room during the registration process.  Then, in the special requests field, indicate that you would like a suite for the same dates.  A representative from the Annual Meetings Housing Bureau will contact you with information. 
 
If I want to go back and add a hotel room, or change my hotel reservation after registering for the Annual Meetings 2021, what do I need to do?
 
All hotel reservations can be added or modified until October 21, 2021.  To add a hotel room to your reservation, or make any changes, please take a look at your registration confirmation for links and specific instructions.

What is the closest airport?

The closest airport is the San Antonio International Airport (SAT). For more information regarding the airport, please go here.

I'm coming from outside the U.S.; is there anything I should know?

It is necessary for those entering the United States to clear customs and immigration. Visitors from Canada and Mexico must present a passport in order to enter the United States. Visitors from the 38 countries that are part of the Visa Waiver Program must have an e-Passport (embedded with an electronic chip) in order to skip the visa process. Please be prepared. Non–U.S. citizens should inquire about possible visa requirements from their own country. Official letters of invitation to the Annual Meeting to support visa applications are available. Please indicate during registration in the “Letter of Invitation” portion if you would like to request a letter. . If you have questions, you may e-mail reg@aarweb.org or annualmeeting@sbl-site.org after you have completed registration to obtain more details about the information required.

Please note that the AAR and SBL will fully refund registration fees with no penalty to AAR and SBL members in good standing whose visa applications are denied or who are otherwise restricted from entering the United States. For full refund, members must provide a copy of the visa rejection or other written proof of travel restriction

What are the Annual Meetings cancellation policies?
 
We understand you may have concerns about registering and making travel commitments amid health and safety concerns related to the COVID-19 pandemic. Because of this, we have made registration fees 100% refundable with no charge if you cancel before September 24. Your hotel reservation can also be cancelled without a penalty if received by October 21.
 
When booking transportation (flights, trains, etc.) we recommend that you check all cancellation policies and related fees. Details on U.S. travel restrictions can be found on the U.S. Department of State website 

Will there be a shuttle from hotel to the convention center?

No, there will not be an Annual Meetings bus or shuttle from the hotels to convention center this year.
