Travel

Passport and Visas

  • The requirements for entering the South Africa are subject to change. We highly recommend that you check with your country’s state department to confirm the entry requirements to South Afirca
  • Citizens of the certain countries only need a passport to enter the South Africa. A visa is not required for those countries in the Visa Exemption List. Information about obtaining a South Africa visa can be found online.
  • If you require assistance obtaining a visa, please send an email (rosenbergforum@ucanr.edu) to the attention of Sherry Cooper or Julia Kalika ASAP. 

Arrival & Departure

You should arrive by 22 October to participate in the 23 October Welcome Reception, however you may arrive as early as 21 October.

You should depart on 28 October. If you choose to stay longer, you will be on your own for lodging and will need to make your own arrangements.

Flights

Cape Town International Airport (CPT): 14 miles or 21 kilometers

There are two options to purchase your flight(s) as outlined below. You will be asked which method you prefer when you register. 

Option #1: Our travel agency makes all arrangements and purchases your flights:

  • Provide your preferred airline, airport, flight number, and a copy of your passport when you register. ANR event staff will handle your reservations.
  • You will need to watch for an email from Connexxus.TravelRequests@bcdtravel.com and respond ASAP so that your flight can be finalized and purchased. The travel agent needs a quick response from you confirming the details of your flight because they can only hold the flights for a short time (less than 24 hours).
  • If you requested to bring a companion or spouse, you will need to buy their flight on your own directly with the airline.

Option #2: You purchase your own flight and are reimbursed after the forum takes place:

Please note that we will not be able to reimburse you until after the Forum has concluded.

  • The Forum will only be able to reimburse you for the cost of economy travel. If you choose to purchase business or first class travel, you will be required to pay the difference.
  • Rosenberg event staff will need to review and approve your preferred flights before you purchase them, to ensure that you will be arriving and departing on the correct days and to confirm that we will be able to provide you with airport transportation. Please send us the details of your proposed flight to rosenbergforum@ucanr.edu, and we will respond within one business day to confirm that it is approved to purchase.
  • Its recommanded that you purchase air ticket directly from the airline. It can be purchased from a travel agency but you must provide an itemized receipt. UC will only accept itemized receipts from travel agencies.
  • Do not use miles or points to purchase air tickets. We cannot reimburse based on full cost of the tickets if you use points or miles.
  • Air ticket receipts must indicate the traveler's name, departure and arrival times, trip location, amounts and method of payment.

  • A lodging reservation will be made for you based on the dates you provide in the registration form. Please bring your hotel reservation confirmation to the hotel when you arrive. 
  • You will not need to pay for your room; however, when you check in, you will need to provide a credit card for any incidental expenses and any additional lodging nights you have requested that are not covered by the Forum. 
  • Check-in time is 14:00; check-out time is 11:00.

Forum Events will be at the University of Cape Town, Graduate School of Business, Academic Conference Centre located in the Protea by Marriott Hotel

Meals

  • The Forum begins on the evening of Monday, October 23, with a light reception for Rosenberg Forum participants. Dinner is on your own that evening. All other meals are provided by the Forum for participants while in Cape Town.
  • Please deduct the cost of alcoholic beverages from any meal expenses that will be submitted. UC will not reimburse for alcoholic beverages.  

Companions

  • Please indicate on your registration if you have a guest who wishes to attend as your companion.
  • Companions are invited to participate in the following functions (Fees will apply).
    • Monday, 23 October Welcome Reception ($35)
    • Tuesday, 24 October Field Tour ($100)
    • Thursday, 26 October Closing Dinner ($35)
  • Please be sure to cancel if their plans change.

Reimbursements for Other Expenses

  • Receipts are required for expenses over $75.
  • Receipts must include something showing form of payment, such as, check, credit card, etc.
  • Bank statement or an itinerary cannot be accepted as a receipt.

Attire

Business casual is acceptable throughout.
