Other Events are events scheduled separately from the AAR and SBL programs. Examples of Other Events include receptions, business meetings, book launches, and breakfast and lunch gatherings.

Please note that, with the exception of AAR RSOs and SBL Affiliates, AAR and SBL do not permit any Other Event sessions of a programmatic nature (i.e., scholarly panel or paper presentations) to occur during regular session times (Saturday - Monday, 9:00 am-11:30 am and 1:00 pm-6:30 pm, and Tuesday 9:00 am – 11:30 am) without special permission. This policy is to prevent any thematic conflicts between AAR and SBL sessions and Other Events.

Other Events Fees are based on the schedule below, and are non-refundable. In addition to the convention center, we have five venues that we are utilizing for space: Marriott Rivercenter, Marriott Riverwalk, Grand Hyatt, Hyatt Regency and Westin. Events will be scheduled in the venue that best suits your needs and based on available space. You will be notified via email per the dates below when your event has been assigned, and will receive the name of the venue, room name, audiovisual contact, and catering contact and menu so that you may make your arrangements directly with the appropriate contact.

Virtual Other Events may also be hosted through our EventPilot Virtual Meeting platform. The same schedule and rates apply. 

If we receive your Other Events Request Form and payment by July 10:

                             •             Fee is $50 per 30-minute time slot

•             Event will be listed in the Program Book, Online Program Book, and mobile app 

                             •             Confirmation of venue and room assignment will be emailed by August 6

 

If we receive your Other Events Request Form and payment by August 6:

                              •             Fee is $75 per 30-minute time slot

                              •             Event will be listed in the Online Program Book and mobile app

                              •             Confirmation of venue and room assignment will be emailed by September 4

 

If we receive your Other Events Request Form and payment by October 1:

                             •             Fee is $100 per 30-minute time slot

  • Event will be listed in the Online Program Book and mobile app
  • Confirmation of venue and room assignment will be emailed by October 15

 

NO Other Event Requests will be accepted after October 1

Change requests made after October 1 will incur a $75 per half hour change fee (includes changes to day, time, and/or location)
