VENDOR FAIR HOURS

All exhibit booths will be open during the dates and times listed below:

Monday, July 20 

  • 5:00 PM - 7:00 PM: Reception with hors d'oeuvres and open bar

Tuesday, July 21

  • 7:00 AM - 8:00 AM: Breakfast
  • 10:00 AM - 10:30 AM: Morning Break
  • 12:00 PM - 1:00 PM: Lunch
  • 3:00 PM - 3:30 PM: Afternoon Break
  • 5:00 PM - 7:00 PM: Reception with hors d'oeuvres and open bar

Wednesday, July 22

  • 7:00 AM - 8:00 AM: Breakfast
  • 10:00 AM - 10:30 AM: Morning Break
  • 12:00 PM - 1:00 PM: Lunch
  • 3:00 PM - 3:30 PM: Afternoon Break

Important Note: 

All vendors have access to all workshops, sessions, meals, and vendor fair.

BOOTH REGISTRATION

Early Booth Registration (for sponsors):
SV Events will email a registration link at 11:30 AM Eastern each day as noted below. Booth registrations must be completed by 5:30 PM Eastern that day, or a booth will be selected for your company.

  • Tuesday, March 24, 2026 – Diamond sponsors
  • Wednesday, March 25, 2026 - Platinum Plus / Platinum sponsors
  • Thursday, March 26, 2026 – Gold sponsors
  • Tuesday, March 31, 2026 – Silver Plus / Silver sponsors
  • Wednesday, April 1, 2026 – Bronze sponsors

Booth Registration (for companies not sponsoring):

  • Wednesday, April 8, 2026 at 12:00 PM Eastern

Important Notes/Helpful Hints for booth registration on April 8:

  1. The registration is set to open exactly at 12:00 PM Eastern. Selecting the button early may delay access to the registration site. 
  2. Booths sell out quickly. In advance of the registration date, please:
    • review the floor plan, pricing, inclusions, and terms and conditions
    • obtain internal approvals
    • ensure all questions are addressed ahead of time, as we will not be able to respond to calls or emails at the time of registration
  3. If your credit card is not accepted, change the form of payment to “check” and complete your registration. Contact planning.team@sv-events.net to arrange payment.
  4. Only one booth is allowed per company. If two booths are purchased by the same company, the duplicate booth will be cancelled and refunded less a $75 administrative fee.

Email address and reference number of the primary booth rep are required. This information may be found in the primary booth rep's confirmation email.

TERMS & CONDITIONS

  1. Exhibiting Companies may not share a booth with another company or invite a representative from another company without written approval from the Steering Committee. Booth sharing may be allowed if and only if:
    • Exhibiting Companies are owned by the same parent company, or
    • One of the companies in the booth space sells directly to the other company in lieu of sales to a User, such as a Distributor or Representative.
  2. Booth assignments are provided on a first-come first-serve basis upon registration. Higher tier sponsorships receive higher priority.
  3. If booth space is sold out, a waitlist may be enabled. If we have any booth cancellations, companies on the waitlist will be offered booth space. Payment in full must be received within 2 business days of accepting the available booth.
  4. Booth Restrictions:
    • Pipe and drape must remain in place and may not be repositioned or removed to expand your booth area.
    • All display items must fit entirely within your designated booth footprint and not exceeed 8 feet in height. Items encroaching into aisle space must be repositioned inside the booth.
    • Booth set-ups must not obstruct sightlines to adjacent booths.
  5. Each exhibiting representative is expected to wear his/her own badge.
  6. Exhibiting Companies are not allowed to schedule meetings or invite Users to functions during conference scheduled events.
  7. The HRSG Steering Committee reserves the right to make changes to booth assignments in its best judgment when required.
  8. Exhibiting Companies who do not follow these Terms and Conditions will not be invited to attend any portion of the following year’s annual conference.
  9. Payment for booth space must be received no later than 5:00 pm Eastern on Wednesday, May 6, 2026.
  10. Booth spaces in which full payment has not been received by 5:00 pm Eastern Wednesday, May 6, 2026 will be cancelled and offered to the next company on the waitlist.

 

CANCELLATION/REFUND POLICY

Exhibit Booth Cancellations:

  • by  Wednesday, May 6, 2026Refundable with a $75.00 cancellation fee
  • Thursday, May 7, 2026 or later:  Non-refundable

Vendors (non-exhibiting), Consultants, and Additional Exhibiting Company Representative Cancellations:

  • by Friday, June 19, 2026: Refundable
  • Saturday, June 20 2026 or later: Non-refundable*

* Name changes in lieu of cancellation are allowed, provided new booth representative is from the same company and there are no modifications to payments already received.
