Sponsor Engagement Rule Conference Event & Meeting Policy
To ensure the success and integrity of the official conference agenda, all participating companies and attendees are prohibited from organizing or hosting social events, meetings, or gatherings that conflict with the scheduled programming of IPPA’s Spring Summit.
Policy Guidelines:
- No Competing Events: Companies, sponsors, exhibitors, and attendees may not hold social functions, meetings, or other gatherings that overlap with official conference sessions, networking events, or scheduled activities. Official event schedule will be delivered at least 4-weeks in advance and posted to the designated event website.
- Approved Scheduling: Any external meetings, receptions, or events must be scheduled outside of official conference hours and be pre-approved by the IPPA Central Office.
- Approval Process:
- All requests for external meetings or events must be submitted in writing to ippa@dci-kansascity.com at least 7 days prior to the conference.
- The request must include event details, time, location, intended audience, and purpose.
- The association reserves the right to deny requests that may interfere with conference programming.
Enforcement & Consequences: Violation of this policy may result in disciplinary action, including but not limited to warnings, suspension, or cancellation of event sponsorship without a refund.
Reporting Violations: Any concerns regarding unauthorized or conflicting events should be reported to the IPPA Central Office. Reports will be reviewed confidentially, and appropriate action will be taken.
This policy is in place to maintain the integrity of the conference experience, ensure maximum participation in official programming, and protect the value of attendee and vendor investments.
