    Travel

    Recommended Arrival and Departure Dates
    It is recommended all attendees arrive on or prior to Monday, September 15th to check in for the event and attend the Trinity Fest & Welcome Reception. The Trinity Fest will start at 2:30PM CST on Monday, September 15th. If you plan to attend the closing celebrations on the evening of Wednesday, September 17th, please depart on Thursday, September 18th.

    The closest airport is Dallas/Fort Worth International Airport (DFW). Travel time is 10-15 minutes, depending on traffic. Approximate Uber/Lyft price is $35-$50 depending on travel time, time of day, and final destination.

    DAL Airport
    Dallas Love Field International Airport (DAL) is another accessible airport. Travel time is 25-50 minutes, depending on traffic. Approximate Uber/Lyft price is $50-$75 depending on travel time, time of day, and final destination.

    Trinity Challenge is back! Back for its third year and bringing something new, the Trinity Challenge returns with the same name you know, but an all-new format, including an individual option for the first time ever.  Celebrate the spirit of our classic DriTri with fresh Momentum 2025 energy.  Join as a team of 3 (all-female, all-male, or co-ed) or go solo.  You'll power through 3 stations, earning points through distance, vertical feet, and bodyweight reps.  

    Whether you're in it for the camaraderie, the sweat, or the personal milestone—this challenge is yours to conquer.

From the glitterin’ glam bar to electrifying entertainment, every detail shines with a whole lotta Texas sass. Our musical acts turn up the heat with a mix of country twang and party jams that’ll have you boot-scootin’ all night long. It’s the perfect way to wrap up the night with a bang and a whole heap of Texas-sized fun!

    All registration fees need to be paid prior to coming to convention. If you registered in September or on-site, you will be charged no later than Friday, October 3, 2025.

    Refund Policy
     

    • 100% refund for cancellations recieved through Sunday, July 13, 2025.
    • 50% refund Monday, July 14 - Monday, August 18, 2025.
    • Non-refundable after Tuesday, August 19, 2025.
    • Transferrable until Monday, September, 1, 2025.

    Please note - any discounted rates are non refundable. 

    Cancellations will be refunded via ACH within 30 days of notification.

    Convention registrations are transferable up to 14 days prior to the start of the event, Monday, September 1, 2025.

    For groups of 10 or more, please reach out to events@orangetheory.com. 

    Owners can choose which studio to charge during the convention registration process. When registering, select the country, state/province, studio region, studio location name, studio "primary" owner name, and studio ID for the studio you want to be billed. All attendees registration will be charged based on the selections.

    A limited number of registrations will be available on-site, at a higher price than Standard Registration. On-site Registration Fees will be charged via ACH debit within 30 days of closing the event.

    Transfers are not allowed within 14 days of the event’s start on Monday, September 1, 2025. Please refer to the cancellation policy above for details and dates on refunds. 

    If an attendee has been registered more than once, it is the attendee’s responsibility to inform The Grove. If registrations are billed under different studio IDs, the attendee should specify their preferred studio for billing the registration fee Refunds will be processed within 30 days after notification is made.

    Yes, you'll receive an email with instructions on how to access your conference schedule 10 days prior to the event.

    We love families! But we politely ask that you refrain from bringing children to convention events as we desire to provide an adult learning environment for all attendees.

    The attendee room rate cutoff date is Wednesday, August 20, 2025. Rooms cannot be guaranteed past this date. All rooms within the room block are limited and subject to availability. Any room cancellation requests made after the above date will not be honored. We highly recommend booking as soon as possible.

    Check in time is 4:00 pm and check out is 11:00 am. Upon request and when possible, the hotel will try to accommodate early check in and late check out as available.

    You may cancel your reservation at no charge before 11:59 pm local hotel time on Wednesday, August 13, 2025. Any room cancellation requests made after this deadline will incur a charge. If you cancel after August 13, 2025, but more than a week before your stay, you will be charged for one night’s room and tax. Cancellations made within one week of your reservation will incur charges for the full duration of your booking. 

    Yes, a limited number of rooms are available at the convention rate for up to 3 days before and 3 days after the event. These additional nights are subject to availability and are offered on a first-come, first-served basis.

    TERMS OF USE/CONDITIONS

    These terms of use (“Terms”, “TOU”, or “Agreement”) form a binding legal contract between you and Ultimate Fitness Group, LLC d/b/a Orangetheory Fitness and its affiliates (collectively, “Company”, “we” or “us”) and govern access to and use of the Orangetheory® Fitness 2025 Convention website (found at https://na.eventscloud.com/website/84932/) and the corresponding mobile app (collectively, the “Site”).

    By accessing and using the Site, you agree to be legally bound to and to abide by the Terms. If you do not agree with any of the Terms, do not access or otherwise use the Site.

    1. Site Requirements. In order to access the Site, you must register for the Momentum Grapevine 2025 Convention (“Event”) with Company by submitting your name, email address, and related information on the registration page. By registering for the Event, you represent that you are at least eighteen (18) years old or the age of legal majority in your country of jurisdiction. If you are not at least eighteen (18) years old, you may not register for the Event. Company reserves the right to make modifications to the Site and the Event.

    2. Intellectual Property Rights. Upon valid registration for the Event, Company provides you a limited, non-exclusive, non-transferable license solely to access and use the Site as expressly permitted herein. You acknowledge and agree that all information and content provided via the Site, including, but not limited to, trademarks, service marks, trade dress, graphics, images, and other material (collectively, “Materials”) are the sole and exclusive property of Company, Company’s licensors, or a third party and are protected by proprietary rights. You shall not modify, edit, copy, reproduce, create derivative works of, reverse engineer, or in any way exploit any part of the Site. Any breach of this paragraph will result in immediate and automatic termination of the license granted herein. Any rights or licenses not expressly granted herein are expressly reserved by Company. Nothing in this Agreement shall be deemed to vest in you any legal or beneficial right in or to any intellectual property rights owned or used under license by Company.

    3. Third-Party Services. In connection with the Site, you may be provided with information regarding third-party products, sites, and services, (collectively, “Third-Party Information”). The availability of such Third-Party Information does not imply Company’s endorsement. You agree that to the extent permitted by applicable laws, Company will not, under any circumstances, be responsible or liable, directly or indirectly, for Third-Party Information or for any harm related thereto to or for any damages or loss caused or alleged to be caused by or in connection with your use or reliance on Third-Party Information. Further, Company is not responsible for and encourages you to review the privacy policy of any third-party available in connection with the Event and/or Site.

    4. Privacy Policy. Company respects your privacy and takes reasonable steps to protect your information. Company does not rent or sell your information to any third parties. Company has engaged STOVA. (“STOVA”), a third-party, to provide management of the website and mobile app for the Event. You also agree to Stova’s Privacy Policy available through the following URL: https://stova.io/privacy-policy/, and OTF’s privacy policy available through the following URL: https://www.orangetheory.com/en-us/privacy-policy.

    5. Confidentiality. You agree not to disclose, or cause to be disclosed, to any third-party, any information Company declares as confidential information regarding Company and its respective officers, directors and employees, (collectively, “Confidential Information”). You acknowledge and agree that any direct or indirect disclosure of Confidential Information will constitute a material breach of this Agreement and will cause Company substantial and irreparable injury entitling Company to, among other things: (i) injunctive or other equitable relief, without posting any bond, to prevent and/or cure breach or threatened breach of this Agreement; (ii) recovery of any damages suffered by Company arising from such breach or threatened breach including, without limitation, attorneys’ fees, legal expenses and court costs incurred to enforce this paragraph; and (iii) disgorgement of any monies, profits, or other consideration or benefits which you derive from sources relating to any disclosure or exploitation of Confidential Information, in each case without prejudice to or limitation of any other legal or equitable rights or remedies that Company may have as a result of a violation of the Terms. You agree to honor the provisions of this paragraph in perpetuity.

    6. Limitation of Liability. TO THE MAXIMUM EXTENT PERMITTED UNDER APPLICABLE LAW, IN NO EVENT WILL COMPANY BE LIABLE FOR ANY INCIDENTAL, INDIRECT, SPECIAL, EXEMPLARY, OR CONSEQUENTIAL DAMAGES OF ANY KIND WHETHER BASED UPON A CLAIM OR ACTION OF CONTRACT, WARRANTY, SIMPLE NEGLIGENCE, STRICT LIABILITY OR OTHER TORT, OR OTHERWISE, ARISING OUT OF THIS AGREEMENT OR IN CONNECTION WITH EVENT ATTENDANCE REGARDLESS OF WHETHER COMPANY KNEW OR HAD REASON TO KNOW OF THE POSSIBILITY OF THE FOREGOING. NOTWITHSTANDING THE FOREGOING AND FOR THE PURPOSES OF CLARITY, THE AFOREMENTIONED LIMITATION OF LIABILITY SHALL NOT APPLY IN THE EVENT YOU INCUR DAMAGES AS A DIRECT AND PROXIMATE RESULT OF COMPANY’S INTENTIONAL OR FRAUDULENT ACTS OR OMISSIONS.

    7. Applicable Law, Venue. This Agreement shall be construed and interpreted under the laws of the State of Florida, without regard to conflict of law provisions. The federal or state courts of Palm Beach County, Florida shall have exclusive jurisdiction over any and all claims brought in connection with this Agreement and/or participation in the Event.

    8. California Consumer Notice. Under California Civil Code Section 1789.3, California users are entitled to the following consumer rights notice: the Event is provided by Ultimate Fitness Group, LLC, 6000 Broken Sound Parkway NW, Suite 200, Boca Raton, FL 33487, who has engaged Cvent, Inc. with an address of 1765 Greensboro Station Place, 7th, Floor, Tysons Corner, VA 22102, to provide event management including the online portal. If you have a question or complaint regarding the Event, please contact Company at legal@orangetheory.com Attn.: Legal Department. California residents may reach the Complaint Assistance Unit of the Division of Consumer Event of the California Department of Consumer Affairs by post at 1625 North Market Boulevard, Sacramento, CA 95834 or by telephone at (916) 445-1254 or (800) 952-5210 or Hearing Impaired at TDD (800) 326-2297 or TDD (916) 322-1700.

    11. General. If there is a conflict among any of the terms of this Agreement and the Assumption of Risk and Agreement of Liability for the Event, the Parties intend that it be resolved by giving precedence to the Assumption of Risk and Agreement of Liability for the Event. You understand that this Agreement is intended to be as broad and inclusive as permitted by applicable law. As such, the invalidity or unenforceability of any provision of this Agreement, whether standing alone or as applied to a particular occurrence or circumstance, shall not affect the validity or enforceability of any other provision of this Agreement or of any other applications of such provision, as the case may be, and such invalid or unenforceable provision shall be deemed not to be a part of this Agreement.

    12. Cancellation Policy. Client acknowledges and agrees that all payments made to Company are refundable based on the breakdown listed. 100% refundable before 7/13/25, 50% refundable after 7/14/25-8/18/25, non-refundable after 8/19.  No cancellations after 8/19/25 under any circumstances, including but not limited to cancellation, rescheduling, will be allowed.  Exceptions to this policy will be made only at the sole discretion of Company, and must be agreed to in writing. Verbal agreements or representations shall not be considered binding.
