VOLUNTEERS AT THE NJEPA CONFERENCE
JOB DESCRIPTIONS AND BENEFITS

Volunteers play a vital role in making sure the NJEPA Annual Conference runs smoothly and efficiently.  We have a variety of volunteer opportunities and roles available, along with general volunteer requirements.  Volunteer opportunities have different shifts from 7am to 12pm, 12pm to 5pm and 5pm to 7pm.  Any other specific needs or times will be discussed prior to the conference. 

General Volunteer Responsibilities

Specific duties will vary depending on which volunteer job you are assigned but all volunteers will be asked to:

  • Know the locations of conference events (award reception dinner, exhibit hall, etc.)
  • Wear a shirt (provided) identifying themselves as volunteers
  • Giving directions at an assigned post (hallway, escalator, etc.)  in a helpful and friendly way
  • Monitor classrooms or breakout sessions
  • Handing out raffle tickets and collecting tickets at dinner
  • Monitoring exhibit hall doors

Specific Volunteer Roles

Registration Volunteer:

As a registration volunteer, you will likely be attendees’ first point of contact at the NJEPA Annual conference. Your job will be to greet attendees, give them their name badge and any other materials, and provide directions or answers to questions as needed.

Greeter:

Greeters will be positioned at the door to events, near elevators, and in other places where conference attendees may need directional help. As a greeter you will need to be familiar with all of the conference locations and schedules so that you can answer questions and provide directions as necessary. Greeters will also assist during conference events such as the awards reception dinner and exhibit hall displays. 

Room Monitor:

Room Monitors will staff class and breakout session rooms and ensure that everything runs smoothly for the class or breakout session. Specific duties include introducing the speaker/speakers, making sure the speaker and moderator have everything they need, notifying any needs that come up in the class and breakout session rooms and making sure all sign in and sign out sheets are complete and returned to the volunteer chair.

Additionally, other opportunities to participate include: staffing and supporting the exhibit hall and special events and programs as well as preparing training materials and conference registration and give-away items.

  • All volunteers will be required to participate in a short virtual training before the conference.
  • There is a mandatory volunteer meeting every day at a location and time to be determined prior to the start of the conference to review assignments and retrieve materials.

Benefits

  • Volunteers are given a code to have their registration fee waived with twelve (12) hours volunteered over the course of the week.
  • Volunteers are given a $5.00 gift card for every 4 hours they volunteer during class hours.
