CALL FOR OUTDOOR HANDS-ON DEMONSTRATIONS

The planning committee for the 2026 Pacific Northwest Bridge Maintenance Conference welcomes proposals for outdoor demonstrations during the event, taking place from April 14–16, 2026, at the Seaside Civic & Convention Center, in Seaside, Oregon.

CONFERENCE DESCRIPTION

    The purpose of the Pacific Northwest Bridge Maintenance Conference is to provide a forum for bridge maintenance crews to share information, innovations, creative ideas, and tricks of the trade to maintain our highway structures including bridges, sign structures, retaining walls, culverts, and tunnels. Topics include maintenance procedures, standards and safety, emergency response, prioritizing maintenance repairs, deck joint repair, new repair methods and materials, environmental constraints, cyclic maintenance, tunnel maintenance, and "fix it first" strategies.

    OBJECTIVE OF DEMONSTRATIONS

    The objective of the hands-on demonstrations is to provide practical training to bridge maintenance crews. This is intended to supplement information obtained during presentations. The demo should not only assist the crews in understanding when a product is appropriate to use, but also proper installation techniques. Proposals that incorporate audience participation and/or city/county/state bridge-owner crews will be given preference.

    WHAT IS PROVIDED

    • A 10’x10’ demonstration space under tent cover (no drapery)
    • Dumpster for disposal
    • Onsite 24-hour security guard and fenced location

    BOOTH PURCHASE POLICY

    • Outdoor demonstration booths are provided free of charge for presentations given by representative of state agencies.
    • Companies (non-agencies) must purchase BOTH an indoor exhibit table AND an outdoor demo space to participate in the demonstrations.

    CONSIDERATIONS

    • It is understood that the person who submits a proposal intends to participate in the demonstration.
    • Everyone who offers a demonstration is expected to register in advance for, and attend the full conference.
    • Proposers agree to present their demonstration on any day of the conference should their proposal be accepted.
    • Space will be limited and therefore not all submissions will be accepted. The selection committee will review submissions and provide recommendations to the PNBMC Planning Committee.
    • It is understood that all accepted demo presenters are willing to participate in a special indoor session that introduces conference attendees to the content of their outdoor demonstration. Presenters are expected to assemble 2–3 PowerPoint slides and give a 2-minute lightning talk about what they will demonstrate. 

    PROPOSAL DETAILS

    • Proposals must be submitted via the online submission portal. Proposals sent by mail will not be considered.
    • A complete proposal includes:
        (1) Contact information for the proposer and all co-presenters.
        (2) A brief biography of the lead presenter and all co-presenters (250-word maximum per bio).
        (3) The title of the presentation.
        (4) A detailed summary of products & techniques that will be demonstrated.
        (5) An outline of how the presenters will engage with the observing audience.

        (6) An estimate of the number of participants that can be involved in each demonstration.
        (7) A description of the demonstration's timing & how many demonstrations can be performed within a 60-minute session.
        (8) Additional supporting materials, such as documents, pictures, graphs, charts, or other images that help further describe the demonstration (optional). 
             Max file size is 5MB. 
        (9) The amount of space needed for the demonstration (10'x10' is standard).
      (10) A list of required PPE, electrical needs, and other services needed to ensure the success of the demonstration.
    • Once you have assembled all required materials, click the “Submit A Demo Proposal” button below to begin the submission process. Important: Once a proposal has been submitted, it may not be edited, thus, it is crucial for the submitter to gather all required materials prior to beginning a submission.

    DEMONSTRATOR GIFTS (agency representatives only)
    To acknowledge their contribution to the program, the primary presenter and first co-presenter of outdoor hands-on demonstrations who represent government agencies will each receive:

    • Complimentary conference registration.
    • A complimentary hotel room for up to 3 nights.

    TIMELINE

    • Proposals must be submitted by 12 noon Pacific Standard Time on Wednesday, November 12, 2025.
    • Proposers will be notified of their status by Thursday, January 15, 2026.
    • Accepted demonstration personnel must confirm their participation by registering for the conference by Friday, February 13, 2026.
