Update on Passport Processing Times
Routine processing will take 10-13 weeks and expedited processing, which costs an additional $60, will take 7-9 weeks. Processing time begins the day the application is received and does not include mailing time.

Enrollment

Ask TSA

If you're wondering when your airport's TSA PreCheck lanes are open, why your TSA PreCheck indicator isn't showing up on your boarding pass, or pretty much anything else related to the security screening, text your questions to Ask TSA (275-872). You'll get an answer right away, right on your mobile device. The virtual assistant offers quick answers to frequently asked questions. For more complex issues, AskTSA staff are available daily from 8 a.m. to 6 p.m. ET. Use points or miles to pay for TSA 

From airlines and hotels to credit cards and travel sites, many rewards programs enable use of points or miles to cover the costs of TSA PreCheck enrollment. Some programs even cover family and friends as well. It's a terrific way to enjoy all the benefits of TSA PreCheck for five years. SOUTHWEST AIRLINES

 

Latham will designate Southwest Airlines as a Preferred Carrier in all Meeting communications. Latham will provide Southwest a draft of Latham's meeting communication to travelers within 3 days of the Effective Date for Southwest's review and comment. Latham will provide Southwest a final copy of Latham's communication to travelers within 14 days of the agreement start date. Latham will include the following in its communication to travelers: SWA Business preferred carrier status, Booking Dates, Travel Dates, Eligible Distribution Channels, Airport and booking link.

FAQs

 

HOTEL

When is check-in/check-out?
Check-in is any time after 3:00 pm and check-out is any time before Noon.


Is there WIFI available?
Yes, guests staying at the hotel will have free WIFI available throughout the resort.


Electricity?
Sockets operate at 110 Volts/60 Hertz, the same as the U.S.


I’ve never been to an all-inclusive resort before, what should I keep in mind?
If you plan to eat in one of the specialty restaurants there may be additional charges for upgraded menu or alcohol selections.

There is an all-day buffet located at the resort. Hours are subject to change.

All dietary and allergy restrictions will be accommodated. Please notify your server of specific needs.


Gratuities?
Tips and gratuities have been pre-paid for all group activities. Tipping your servers at restaurants is welcomed. 


I see there is a spa onsite, I would like to relax. How can I book an appointment?
Most people will book an appointment upon arrival. We are pleased to offer conference attendees a 15% discount at the spa when a service is booked.


I have an allergy or dietary restriction, can the hotel accommodate that?
Yes, the hotel can accommodate food allergies and dietary restrictions, please make each server aware at each of the meals. Also, please fill out any allergies or dietary restrictions when registering for the event. 


Will I need to pay for anything extra while on site?
The resort is all-inclusive, but should you want any premium alcohols or menu selections there will be an upgrade charge. You will be asked to put down a credit card upon check in for any incidentals during your stay. 


Will I need to make dining reservations for any of my meals?
If there is somewhere specific that you would like to eat, it is suggested to make any meal reservations in advance. There is walk up availability, but that will depend on demand.


What happens if there is a medical emergency while at the resort?
The hotel is equipped with an onsite infirmary, and there is an emergency room not far from the resort should you need to be transferred.


What languages do the staff speak at the resort?
Spanish is the official language; however, most employees speak relatively good English among other languages.


TRAVEL

How do flights get booked?
IMS will arrange all transportation including flights. When registering in the Travel section, please select your correct days of travel and any other additional information such as Known Travelers Number (KTN). After you register, an IMS travel agent will reach out to reconfirm your full name as well as flight details. 


What airport should I plan to fly into?
Please plan to fly into the Cancún International Airport (CUN).


How will I get from the airport to the hotel?
You must go through your registration and include your travel dates so that we can start making travel arrangements for you. Transportation is included in the trip.  


How far is the hotel from the airport?
40.7 miles from Cancún International Airport to Hotel Xcaret Mexico.


How will I find the transportation when I arrive at the airport?
There will be signs directing you to the transportation holding the event logo; please do not stop at any of the taxi stands or time share areas on your way to the exit as that is not included and will not be reimbursed.


How early should we depart from the hotel to get back to the airport?
Onsite, please look over your departure notice in your welcome packet to find your departure time. Please be in the lobby day of departure 30 minutes prior to your assigned departure time in order for you to checkout and settle any incidentals.


Am I allowed to bring multiple electronic devices to Mexico, such as cameras, cell phones, and laptops?
You can bring up to two cameras or camcorders with related gear, three cellphones or other wireless devices, one GPS, one electronic organizer, one portable computer (laptop, notebook, or omnibook), one portable copier or printer, one CD burner, and one portable overhead projector with its accessories.


Do you want to purchase travel insurance?
This will cover, any travel interruptions, travel delay, baggage coverage, baggage delay, and emergency medical/dental coverage.

If yes, you will receive an email where you can review the quote and conditions and pay directly online.

EVENT LOCATION

What are some items that I should not forget to bring with me?
- Sunscreen
- Insect repellent
- Sunglasses
- A hat
- Swimwear
- Water shoes
- Comfortable shoes

- Casual and comfortable clothing
- Resort casual clothing for cocktails and dinner
- Major medications; enough for your entire stay. Remember to pack these in your carry on.


What are the COVID entry protocols for Mexico?

Are there any vaccine or testing requirements to enter Mexico? No proof of vaccination or testing is required. 

Are there any testing requirements to enter back into the U.S.? No proof of vaccination or testing is required to reenter the U.S.

Do we need to wear masks when traveling? Masks are no longer required on airlines, hotels or public areas in Mexico. Do whatever feels comfortable to you.


What is the Dress Code for 2025 Latham Dealer Conference ?
Shorts and tennis shoes are strongly recommended for off site activities.
For the dinners, please dress resort casual, For example, slack, blouse, sundress, etc.
Please plan accordingly. 

I have never been to Mexico, what is the weather like there in January?
Cancún will have warm weather with an average temperature of 
82°F during the day, and 63°F during the evenings. The sun will be strong, so please take care of yourself.


What is the currency?
The Mexican peso (MXN) is the official currency. However, the US dollar is widely accepted.


Drinking age?
The legal drinking age in the country is 18 years old. 


Taxes?

Cancun, like the rest of Mexico, has a Value Added Tax (VAT) of 16%, which applies to most goods and services, including accommodations, dining, and other tourism-related activities. This tax is usually included in the prices you see, so there are no additional charges at checkout.


What is the Visitax and How Do I Pay It?

PROGRAM & REGISTRATION

What are the program dates for 2025 Latham Dealer Conference ?
Sunday, January 5 - Thursday, January 9, 2025.


I would like to bring a guest with me, what are the costs?
The cost of extra guests are below, please make sure to add them during the registration process. 

Rules

  • Maximum of 2 children (ages 0-5) per room with 2 adults, or 3 adults and one child (ages 0-5).
  • Children between ages 0-5 years old will be lodged at no charge, as long as they share the same room with their parents.
  • Occupancy of the same room by four adults is not allowed.

Cost

  • 3rd person adult is $730.00
  • Child between 6-17 years old is $730.00
  • Child between the age of 0 to 5 years olds are complimentary, as long as they share the same room with their parents. 

All of these cost do not include airfare, which will be an additional cost. Extra guest registration fee includes 4-night accommodation at the hotel, comprehensive provision of meals and drinks, roundtrip transfer to and from the airport (CUN) and access to all Latham-organized events.


I would like to extend my trip; can I do that?
Of course, we would love for you to stay longer and enjoy everything Cancún has to offer. We will have the event room rate available for 3 days pre/post the conference (as resort availability allows).

How do I know if I submitted my registration correctly?
Once your registration is submitted, you will receive an on-screen confirmation as well as an emailed confirmation including your registration number. Please check your spam folder, especially if your company's security filters are strong.


How do I make changes to my registration?
Upon completion of your registration you will receive a confirmation email that will include a registration number and a link that will direct you back to your completed registration. You will need to login using your email and unique registration number provided within your confirmation email. 

Once you log in, you will be able to view, modify your existing registration.


If I did not receive a registration confirmation, what should I do?
If you did not receive a confirmation email, please check your junk folder as it may have been mislabeled as spam. If you still cannot locate, please email latham@incentivems.com and we will resend the confirmation email.
