Attendance at Summit & Registration
Can I register additional staff onsite at the hotel?
You will be able to register additional staff onsite at the Gaylord Texan when the registration desk is open, although if you do not register within the designated online registration timeline, you will incur a fee of $100 due to the added resources needed for onsite registration. What should I do if I need to cancel my registration?
Notification of cancellation must be submitted in writing to Massage Envy at sponsorship@massageenvy.com.
If you are also exhibiting, any form of space reduction whether small or large will be considered a cancellation not a reduction and therefore subject to an administrative cancellation fee. Date of receipt of notification will be considered the cancellation date. See below for penalty details:
- Administrative Cancellation fee of 25% of total sponsorship tier cost.
- No refunds will be issued after February 17, 2025.
- 100% Exhibitor fee forfeiture if booth is not set up and occupied by 8:00 pm Saturday, March 15, 2025. Exhibitor will be considered a No-Show. Any and all costs from the venue or any contractors will be at the exhibitor’s expense. A No-Show may impact participation in future Massage Envy events.
What sessions can vendors attend?
Vendors may attend General Sessions on Monday, March 17th and Tuesday, March 18th afternoon session.

Payments
When are sponsorship payments due?
We have three methods of payment:
- Credit Card (Pay In Full - 3% charge added to all credit card transactions)
- ACH/Wire Transfer (40% due withing 30 days of registrations, balance due by February 28, 2025)
- Check (40% due withing 30 days of registrations, balance due by February 28, 2025)
If paying via ACH/Wire Transfer or Check, a deposit invoice will be sent via email to the primary sponsorship contact within 3-5 business days.

Deposits not received within 30 days of registration may result in booth selection being released back to inventory. The remaining balance must be paid in full by February 28, 2025. If your payment is not received via ACH/Wire Transfer, Check, or Credit Card, you will be charged a 10% late fee. This will be charged and collected before you are able to check-in at the Summit.

What is the cost for onsite parking?
Current per day parking rates at the facility are $45.00 +tax for valet. Self-parking rates are 50% off the current published rates which are $25.00 +tax. Both parking fees are also subject to change by the hotel prior to the March 2025 Summit.
Dress Code
What is the Summit dress code?
Summit attire is business casual.
What is the Gala Attire?
Black-tie formal attire is encouraged for Gala, but not mandatory.
