Please do not book air travel prior to registering for District Leader Training. Air travel to and from District Leader Training and the International Convention will be booked by the Toastmasters corporate travel agent during the unique registration process reserved for elected District leaders in May 2024. Per Policy 8.3 District Leader Expenses, Toastmasters International will pay for round-trip transportation at the lowest rate for the most logical route between the passenger terminal nearest the training site and the passenger terminal nearest the home of the officer. Elected District leaders may not be reimbursed for airfare booked independently without prior written approval from World Headquarters; however, leaders may request an exception to book travel independently during the registration process.
Please plan to arrive no later than Sunday, August 11, to participate in District Leader Training. If you are traveling internationally, you may want to consider arriving by Saturday, August 10, to adjust to the time change. On both Monday, August 12, and Tuesday, August 13, District Leader Training sessions begin promptly at 8 a.m. (after breakfast) and end by no later than 6 p.m.
If you plan to depart following the conclusion of the District Leader Training, please ensure your flight is booked after 10 p.m. on Tuesday, August 13 or at your leisure on Wednesday, August 14. Otherwise, if you plan to extend your stay to attend the 2024 International Convention, please plan to depart by Sunday, August 18.
Toastmasters International will pay for round-trip transportation at the lowest rate for the most logical route between the passenger terminal nearest the training site and the passenger terminal nearest the home of the officer. If you choose a different class of service, want to make any variations to your itinerary outside the standard route, or want to add a companion traveler, the Toastmasters travel agent can support you in making these arrangements. If you would like to book outside of Toastmasters’ corporate travel agent, you must submit a request for an exemption during the registration process. You will be required to submit the following information for your request to be reviewed:
IMPORTANT: The exemption request does not guarantee approval. You will receive an email from training@toastmasters.org within five (5) business days of your submission with confirmation of the approval or denial. Information on next steps will be provided at that time.
We suggest reviewing ground transportation services based on your intended arrival airport. Please note that ground transportation services and rates will vary by airport.
Taxi service is the preferred method of transportation and easily accessible outside the U.S., International, and Domestic terminals (if applicable). Cash and most major credit cards are accepted.
Rideshare services such as Lyft and Uber are also available.
If you drive to the training, you may request mileage reimbursement at $0.14 cents (USD) per mile, not to exceed the amount of the lowest round-trip airfare rate. You must provide a supporting document from a source such as MapQuest or Google Maps when submitting your reimbursement. If you carpool, only the driver is eligible for reimbursement. If you are planning to drive, you will have the option to confirm these details during the registration process.
