Attire Guidelines 

In April, you can expect an average daytime high of 70˚ and evening lows in the mid to low 50s, so you’ll want to bring clothing suitable for spring-like weather, as well as a sweater and/or jacket for evening functions.

Arrival Day Attire:

  • Resort casual wear is appropriate for your day of arrival.
  • If you’re planning on exploring the resort or the natural surroundings, throw a pair of walking shoes, sneakers, or sandals into your carry on for your afternoon at leisure.
  • If you’re planning to spend your afternoon at leisure at the resort, there is a golf course and heated pool on property – so be sure you pack your swimwear in your carry on.

Daytime Business Meeting, Teambuilding, and Activities: 
Plan to wear clothing appropriate for the activity of your choice on Wednesday.

  • Pants, shorts, long or short sleeve shirts.
  • Sneakers or comfortable walking shoes.
  • Closed toe shoes are recommended for certain activities.
  • For further guidance, please view the attire guidelines for your selected activity.
  • NOTE: For the Closing Ceremony on Thursday, Resort Casual is recommended.

Evening Attire:  
Welcome Evening
Resort casual takes on a slightly more sophisticated flair by night.

  • Capris, skirts, long pants, or khakis. Jeans without rips or distressing are ok.
  • Blouse, collared shirt, golf shirt, or a dress.
  • We suggest a sweater or jacket, as outdoor temperatures in the evening will be cool.

Awards Dinner:
Dress to impress this evening. A suit is recommended for gentlemen and a cocktail dress or elegant pant suit for ladies. With HSBC’s top leadership in attendance, we’ll raise our glasses to the Champions and celebrate your dedication and hard work over the last year.

    Program Inclusions 

    What is included in this program?
    The following items are included on the main program dates of April 16 – April 18, 2024:

    • Roundtrip, economy-class airfare
    • Roundtrip airport transportation to and from The Ritz-Carlton Reynolds, Lake Oconee
    • Single occupancy guest accommodations for 2 nights
    • Breakfast daily
    • Lunch on April 16 and April 17
    • Dinner events on April 16 and April 17
    • One activity choice per person on the Activities Day
    • All gratuities for the airport, resort, and activities
    • Due to flight availability, West Coast Champions (Los Angeles, San Francisco, and Seattle) have been pre-approved to arrive on Monday, April 15th. For registration, please select Monday arrival for accommodations and flights. Meal vouchers for Dinner (4/15) and Breakfast (4/16) will be presented at check-in. Recommended flights will be presented to you based on availability. Ground transportation will be provided.

    What is not included in this program?

    • Any costs associated with travel outside of the main program dates including airport transportation, accommodations, meals, and airfare upgrades or differentials (if applicable).
    • All items of a personal nature including checked luggage fees, mini bar, gift shop, laundry, telephone calls, spa, and alcohol during non-group functions.
    • Travel to and from your home airport should be booked on your corporate card and submitted for reimbursement via HSBC standard practice. If you do not have a corporate card, you can still submit for reimbursement. For more information on how to do this, please contact your team’s administrative assistant or your manager.

    Are children or additional guests permitted to attend at my own expense?
    Children under the age of 21 and/or additional guests are not permitted to attend group events. All guest travel expenses and transportation will be on own.

    What if I need to make a change to my registration after I’ve submitted it?

    Why are my full legal name and date of birth required for registration?
    Your name, date of birth, and gender are required by airlines in order to book your flights.
    IMPORTANT: Names submitted during registration must exactly match the photo ID you will use while traveling. If they do not match, you may be denied boarding by your carrier.

     

    Identification

    What are the identification requirements?
    If you are an American citizen originating in the U.S., you will need a valid, government-issued photo ID, such as a driver's license or passport.


    Air Transportation 

    Am I guaranteed my first choice of airport and/or airline? If not, why do I have to fly from a particular airport or on a particular airline?
    Every effort will be made to accommodate your preferred airline, airport, and special requests, but these requests cannot always be guaranteed. While the Air Travel Consultants strive to book the most convenient and cost-effective flights, sometimes connections are unavoidable due to flight availability and cost. If you are extending your stay, any additional costs will be verified with you prior to booking. Costs quoted are not guaranteed until tickets are issued.

    What is the HSBC Travel Policy?
    All Champions will be booked an economy class ticket in line with HSBC’s travel policy. Individuals are fully responsible for any charges/associated fees resulting from elective changes by the individual to their assigned itinerary or fare class and that no support will be provided by HSBC or Next Level Performance once such elective changes are made by the “individual.” This does not include complimentary upgrades or itinerary changes originating from the airline. Elective changes by individuals are highly discouraged.

    When will I receive my flight itinerary and tickets?
    An Air Travel Consultant will contact you with a recommended itinerary for your approval. Your approval is required within 24 hours, after which the itinerary automatically expires.

    You are highly encouraged to download your carrier’s mobile app for easy access to your flight information and potential changes. Be sure to subscribe to push notifications for your flights so that you are always informed.

    What if I need to change my flights?
    Contact an Air Travel Consultant by phone at +1 (732) 379-6282, Monday – Friday, between 9:00 a.m. – 5:00 p.m. Eastern Time, or send your request via email to airtravel@travelinc.com.

    NOTE: Changing flights once they’ve been booked may result in change fees and a potential cost differential, which is imposed by the airlines. You will be responsible for any such costs unless a previous arrangement has been made with HSBC Bank USA.

    What is the name and code of the airport I will be flying to?
    You will fly into Hartsfield-Jackson Atlanta International Airport. The airport code is ATL.

     

    Luggage, Packing and Preparing for Travel

    What is my carrier’s luggage policy?
    Most airlines charge a set price for checked baggage up to 50 pounds. You may incur additional charges if your checked bag exceeds the airline’s maximum weight. Generally, each passenger is permitted one personal carry-on item that fits under the seat (handbag, laptop bag, etc.), and one bag which must be small enough to fit in the overhead compartment.

    Please check with your carrier for their specific policy. Luggage fees are considered a personal expense and cannot be reimbursed.

    Where should I check my luggage?
    Check luggage from your home airport to Atlanta, Georgia. Claim checks should read ATL.

    Where should I pack my prescriptions and over-the-counter medications?
    Pack any prescription medications in their original bottles in your carry‑on bag. Checked luggage can get delayed, usually temporarily, but sometimes temporarily is too long to go without a prescription. Medications are allowed in reasonable quantities exceeding three ounces. These items must be presented for inspection at the security checkpoint.

    Should I bring credit cards?
    All resorts and hotels require a valid major credit card upon check-in to open an incidental account. This allows you full access to the resort’s facilities, and the ability to post charges to your room account. It is not recommended to use a debit card, as a hold may be placed which is often inconvenient. Please do not present a corporate card, as personal incidental expenses will not be reimbursed.

    Is insurance included?
    Insurance is not included. As is customary with group travel, we have taken no additional insurance coverage. You are protected by (1) the regular airline insurance specified by the Warsaw Convention and (2) whatever normal travel insurance you carry.  

    When should I arrive at the airport to check-in for my flight?
    Be sure to leave yourself plenty of time for check-in and security. It is recommended to arrive at the airport a minimum of two hours prior to your scheduled departure time.

     

    Transportation 

    How do I get from the airport to the resort?
    There will be plenty of staff at the Hartsfield-Jackson Atlanta International Airport to assist you when you arrive on the main program arrival date, Tuesday, April 16th. They will be holding Sutherland Club signs in the Arrivals Terminal just before baggage claim.

    What is the distance from the airport to the resort?
    The resort is 84 minutes (87 miles) from the Hartsfield-Jackson Atlanta International Airport.

    Can I drive to the resort?
    Those who choose to drive to the location will be reimbursed for mileage per HSBC’s standard T&E policies and process. If you have questions on how to do this, please reach out to your team’s administrative assistant. Parking will be billed to the master account at the Ritz. Upon arrival at the resort, please advise the front desk at check-in.

    Extended Stay in Greensboro, Georgia

    What is the room rate to extend my stay at The Ritz-Carlton Reynolds, Lake Oconee?
    If you would like to extend your stay, The Ritz-Carlton Reynolds, Lake Oconee has very limited availability prior to and following the main program dates. The room rate is $409 (plus taxes and resort fees) per night to extend three days prior to or following the main program dates of April 16 - 18. These preferred rates are subject to availability at the time of the request. Pre/Post rooms are at the attendee's expense, unless pre-approved by HSBC for business purposes.

    Are airport transfers provided if I choose to extend my stay in Greensboro, Georgia?
    Transportation is provided on the main program dates only (April 16 and April 18).

    What is the recommended mode of airport transportation, should I choose to travel outside of the main program dates?
    Uber and Lyft are the recommended modes of transportation.
