Open Apereo 2020 Online & COVID-19

We understand that it is increasingly unlikely that face to face events will be allowed at the University of Michigan through, at least, the end of June. Open Apereo 2020 will therefore proceed as a wholly online event. We had anticipated this as a likely scenario, and will continue to fine-tune the program to facilitate maximum community participation and engagement.

The Open Apereo Planning Group has been planning to enable remote participation in Open Apereo 2020 since we began the planning process in September 2019. This was driven by a desire to enable low carbon collaboration, and to recognize lower travel budgets across the sector. Open Apereo 2020 June 15-19, 2020 will therefore take place in a blended format -- in-person and virtual -- and will go ahead with or without a face-to-face meeting.

The health of Open Apereo 2020 participants and support staff is very important to us. The  US Government Centres for Disease Control and Prevention (CDC) is currently (16th March) recommending the cancellation of events of fifty people or more for the next eight weeks. Whilst we therefore plan to proceed with the face-to-face elements of Open Apereo 2020 in mid-June, we will be regularly reviewing the situation together with our hosts at The University of Michigan School of Information, planning accordingly, and communicating those plans to presenters and other participants.  

There are currently (March 25th 2020) multiple COVID-19 cases reported in Michigan. The state government is maintaining a web resource on the outbreak. All University of Michigan on-campus events of over 100 people between March 12th and April 21st have been cancelled. We are continuing to plan around a hybrid face-to-face and online event in June, and will continue to monitor the situation and inform attendees accordingly. We are aware of the recent White House announcement banning travel to the USA from European countries within the Schengen area, together with the United Kingdom and Eire, for 30 days. 

The UK Government warns: “Generally, coronavirus can cause more severe symptoms in people with weakened immune systems, older people, and those with long-term conditions like diabetes, cancer and chronic lung disease.” If you have any doubt, please seek medical advice before arranging travel.

The Centers for Disease Control (CDC) maintain travel information for travelers to and from the USA, a situation summary on the outbreak, and a risk assessment. In the light of the public health situation, many organizations are relaxing their policy on travel insurance. Please check this locally.

Registration for Open Apereo 2020 and Open Apereo 2020 Online

Registration for the five days of Open Apereo 2020 and Open Apereo 2020 Online is now available. When you register, you'll have an option to reserve a place for the face to face event at no cost. We'll make a decision on whether the face to face element of Open Apereo 2020 will go ahead no later than May 20th, about one month before the event. At the Event

If we proceed with Open Apereo 2020 with a face-to-face component, we’ll take every precaution to ensure participants' health. 

  • Hand disinfectant will be readily made available for all Open Apereo participants.

  • We recommend that you do not shake hands or embrace at the conference, instead using a verbal greeting.

  • If you become sick while at the event, self isolate and seek medical advice by phone or email. Email to let our team know.

General advice from the CDC:

  • Stay home when you are sick, except to get medical care.

  • Cover your coughs and sneezes with a tissue, then throw the tissue in the trash.

  • Wash your hands often with soap and water for at least 20 seconds, especially after going to the bathroom; before eating; and after blowing your nose, coughing, or sneezing.

  • Avoid touching your eyes, nose, and mouth with unwashed hands.

  • Clean frequently touched surfaces and objects daily.

Refund and Cancellation Policy: This policy is applicable for all registration types. All cancellations received on or before the cut-off date of Tuesday, May 26, 2020 are eligible for a refund of fees paid, less a 10% cancellation fee. No refunds will be issued on or after Wednesday, May 27, 2020.
