Frequently Asked Questions

Travel

Q. Do I need to book my airline ticket through Travel Edge?

A. Districts are instructed to adopt systems put in place by World Headquarters. As such, please take care to book your airline reservation through our travel agency, Travel Edge. If there are circumstances where you need to book outside of the Toastmasters corporate travel agent, you will need to submit your request through the registration system for approval. Please refer back to the travel page for information on how to submit for a travel booking exemption.

Q. Why am I required to book through Travel Edge?

A. A benefit of booking with our agent is your airline ticket is prepaid by Toastmasters International and you will not pay for it out-of-pocket. We can also assist you better if challenges arise.

Q. Can our District leaders be booked on the same flight?

A. Although we cannot make guarantees, please indicate their names in the appropriate place as you register, and we will do our best to accommodate your request.

Q. Can I make airline reservations for my fellow District leaders?

A. No. Each District leader must complete their registration via the registration system, including requests for airline reservations.

Q. I am planning personal travel in conjunction with the training. Is this permissible?

A. Yes, at your personal expense. Toastmasters International pays for round-trip public transportation costs at the lowest rate between the passenger terminal nearest the training site and the passenger terminal nearest the home of the officer. Travel Edge is happy to help plan your trip and will collect the fare difference for any additional travel costs from you directly.

Q. I submitted an exemption request for booking travel outside of Toastmasters corporate travel agent. When will I receive confirmation that my request was approved or denied?

A. You will receive an email within five business days of the submission with details of your approval or denial.

Hotel

Q. Are District leaders responsible for booking their own hotel accommodations?

A. Yes. District leaders are responsible for booking their own hotel accommodations within the Toastmasters room block at the host hotel. If budgeted, and approved, Districts may reimburse the District Director, Program Quality Director and Club Growth Director for lodging expenses. The hotel booking information will be made available to District leaders once they complete the registration process and can also be found in the confirmation email received once registration is completed.

Please email districtquestions@toastmasters.org if you have questions about budgeting for lodging.

Q. Can I extend my stay at the hotel before or after the training?

A. Please email meetingplanning@toastmasters.org to confirm availability before confirming your flight.

Q. How do I get to the hotel from the airport?

A. Your confirmation email will list all the ground transportation options available for your destination. Airport ground transportation may be reimbursable if your District has budgeted for this expense.

Training

Q. How were the dates and locations for MYT chosen?

A: One of the primary factors that contributed to the Mid-year Training location and date decisions was the goal to keep overall meeting, travel, and lodging costs as low as possible for the organization and for individual Districts. In addition, Mid-year Training locations were chosen to make it as easy as possible for District leaders to travel to those locations.

Q. Not all of my District leaders can attend the training. Can I bring someone else in their place?

A. No. Mid-year Training is specifically designed for District Directors, Program Quality Directors and Club Growth Directors. If they cannot attend, we encourage them to complete the Pre-work and review training materials with their Region Advisor and other members of their District team who were able to attend.

Q. How can I prepare for the two days of training?

A. Prior to Mid-year Training, the Training Team at World Headquarters will provide information and instructions on how best to prepare.

Q. What meals are included during Mid-year Training?

A. Breakfast, lunch, and two refreshment breaks will be provided during training on Day One and Day Two. A Networking Dinner opportunity will be provided to District leaders immediately following training on Day One.

Any additional meals outside of the above listed inclusions are the responsibility of District leaders. If budgeted, and approved, Districts may reimburse the District Director, Program Quality Director and Club Growth Director for meal expenses.
