We have all heard about Greta Thunberg, who has brought more attention to climate change than most senior leaders. In this session, we will examine some of the most amazing projects launched by young professionals, like Greta, and explain what we can learn from them to become better project leaders. For example, we will look at 27-year-old Brazilian entrepreneur Elisa Mansur, whose start-up won the 2018 World Bank Youth Summit project competition. Recognizing the chronic shortage of nursery care in her home country that sees around two million infants and toddlers denied access to this critical start in their lives, Elisa set up a network to provide community mothers with training, organization, daily schedules, and a rating system. In doing so, she established a process for improving early childhood education and created a brand new Brazilian job market. And how about the impressive and ambitious project of 16-year-old Dutch Boyan Slat to clean up the ocean? The idea was born after his first scuba dive off the coast of Greece in 2010, where he saw more plastic than fish. In 2013, he launched The Ocean Cleanup project, with just €300 in seed money, with the goal of removing 90 percent of marine plastic pollution by 2040. Each of these rising leaders has followed similar approaches and steps, which we call INSPIRE.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Describe some of the most amazing and impactful projects launched by young professionals; and
  • Discuss how to use these young professionals’ approach – INSPIRE – in their projects to excel.

The world has changed professionally and personally. Not since 9/11 have we been challenged to change how we live, work and socialize. None of us are the same now that a pandemic has shown us a new normal. People are exhausted, hopeful and concerned about their jobs. Thankfully we’re moving forward into a post-pandemic world. To retain your team, you must understand the effect change has on staff or risk losing them to a competitor. Addressing concerns openly will increase retention, grow project productivity, lower stress and strengthen communications.

We understand that change is a constant, and it’s our job as leaders to assist staff who are struggling, by giving them the tools and letting them know they’re not alone. These tools range from workplace innovation and remote technology to organizational growth and an inclusive and strong workplace culture.

Change comes in many forms. Sometimes it’s organizational change-health concerns, or it may be uncertainty in your industry, more disruption, more competition. For some people, it may be how to cope. Experiencing fear and anxiety, new management, new staff and new roles can be an opportunity for growth and advancement if properly navigated.

If those we work with can navigate the intricacies of change, we’ll continue to grow, increase our productivity and have a distinct advantage in advancing the essential project management
services we provide. This session will provide the tools needed to lead staff and teams through change, grow communications and create a strong workplace culture.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Demonstrate the ability to successfully lead through and navigate a culture of change, recognizing the challenges of staff in an ever-changing remote work environment (as business needs dictate); and
  • Illustrate three key factors that allow individuals to stress less, grow in their engagement and be productive during challenging times.

Session 205: Redefine the "P" in PMO

  • Speaker(s):

  • Fiona Lin, PMI-ACP, PMP, Vice President, Enterprise PMO, Snap Finance

Tracks:

Session Type: Building Your Business Acumen

Subtopics: Agile, Leadership Skills, PMO, Portfolio Management, Program Management

Audience Level: Advanced

Duration: 45 minutes

Speaker(s) Region(s): North America

As Vice President of Enterprise PMO, the presenter often gets asked "What does 'P' stand for?" Her response: "My team supports projects, programs, portfolio management, and process improvement." These are the 4Ps in her world. It is common for people to refer to the "P" as "project", just like the "P" in PMI. However, as PMOs mature, we need to refine our approach to deliver value by tying these tentacles together.

Project management (PM), as the core service PMOs provide, is to instill the PM disciplines and the agile mindset by applying best practices from different methodologies and frameworks (Scaled Agile Framework [SAFe], Scrum, Lean, etc.). PM enables teams to deliver faster, better results.

Regardless of how well we execute projects, without Lean Portfolio Management (LPM), it’s like trains heading in different directions, risking collision. Activating LPM helps align with enterprise strategy allowing the flow of value around customers, and guides teams to prioritize objectively.

Program management is a natural way to organize interrelated efforts in a coordinated manner, such as all system implementation efforts. In the SAFe environment, release train engineer (RTE) program managers, a critical role to ensure success for Agile Release Trains, typically report to the agile PMO.

Where does process improvement fit? When engaging teams on the most critical projects, we empower them to identify opportunities for improvement. Lean Six Sigma provides sound practices to drive operational excellence. Only when PMO leaders are aligned on this vision can we help redefine and re-establish a common understanding of the “P” in PMO.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Explain how a mature PMO should have the full spectrum of services including project, program, and portfolio management, as well as process improvement; and
  • Develop a high-level strategy to establish or mature their PMO, with suggested methodologies, frameworks, and next steps.

Agile allows for releasing a work product or deliverables in small increments. It allows for a backlog of tasks to be completed, often referred to as stories. But because people come first in agile, people control this backlog and can add stories to it at any time. This is intentional. Agile allows for this because it is intended to be a parking lot for future releases. But many times, the stakeholders will abuse the agile process and push the team to complete stories that do not include deliverables agreed to in the standard of work. This session will walk through a hybrid project life cycle and address out-of-control scope changes.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

Diversity is NOT the same as inclusion. Just because you have a diverse team, it doesn’t mean you have an inclusive work environment. Diversity is about recognizing and celebrating our differences. Inclusion is about belonging and valuing our differences. Leaders must have the skills to create environments where their teams thrive and talents shine! This is no longer a nice-to-have, it is a must-have, especially in the hybrid virtual work environment where change is constant.

During the session, we will go through the three key conditions needed to foster greater inclusion and more meaningful work in the workplace, while having fun! You will learn how to nurture psychological safety within teams, promote open feedback, and use a coaching culture to create a shared responsibility to nurture inclusive environments. Walk away with practical actions you can start doing immediately in your workplace. This is your whistle-stop tour of powerful leadership and self-improvement skills.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

Many projects are implemented successfully from a technology perspective yet fail to make expected positive impacts on an organization due to lack of focus on change management. By definition, every project produces a unique result, product or service. That uniqueness represents change to the stakeholders. This session applies lessons learned from the book “Who Moved My Cheese?” by Spencer Johnson to project management with the intended result of increasing user adoption and stakeholder satisfaction.

The book is relevant to projects when stakeholders face significant changes brought on by new technology. Underperforming projects may be encountering user resistance to change. This session includes tools for uncovering stakeholder resistance and mitigating project risk with some specific project examples/lessons learned for creating an innovative project environment receptive to change and continuous improvement.

In addition to addressing change management within a project, this session focuses on the impact of changes among a portfolio of projects. Organizations facing resource constraints or changing market conditions are often forced to reprioritize projects. Most industries have been significantly impacted by resource shortages and rapidly changing conditions brought on by the pandemic over the last two years. The resulting radical reprioritization can impact dependencies between projects in the portfolio and may influence stakeholders’ perception about the probability of success of delayed projects. Since many organizations measure performance of the Project Management Office operations by on-time project delivery, this session helps leadership manage stakeholder expectations amidst changing priorities and timelines. Example projects include software application development and deployment.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Explain how to mitigate the project risk of stakeholder resistance to change and use change management tools to ensure projects “stick” after implementation; and
  • Be able to manage stakeholders based on change resilience to “future-proof” projects in a portfolio and lead organizational change.

The pandemic has changed many aspects of how we manage projects, no matter where we are around the world. In response to this, more companies have started adopting agile, and the traditional agile culture has also changed. As part of this, many have migrated workloads and parts of their projects into the cloud.

In this session, we will address planning and executing technical projects with agile, with consideration of impacts from COVID-19 and how to incorporate the cloud into such projects while ensuring stakeholders are satisfied with the direction taken. We will examine considering organizational capability when deciding an approach to take, how to adapt these considerations as part of planning into the work breakdown structure, the communication plan from a tech company perspective, and which workloads would be appropriate to shift towards the cloud as part of the plan. We will discuss how to create and track appropriate KPIs, both on-premises and based on services from the cloud. We will then identify frequently made mistakes that organizations have created while transitioning into an agile-based culture during COVID-19 and working with the cloud as part of doing so. We will conclude with a case study showing how things can go wrong and how a team used agile and the cloud to adapt and deliver results successfully.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Apply emerging work trends within the cloud to support their agile tech projects as part of their culture, whether they have already been agile or are looking to transition into it; and
  • Create appropriate strategies to address issues in the workplace created by the pandemic by applying best agile practices while understanding which approach can be used for which project.

Negotiation and persuasion are learned skills that have historically been developed in the C-suite. Over the last 18 months, as the organizational silos are disrupted and change is occurring in the business world, being comfortable with both negotiating and persuading is more important than ever.

The current decade is one of jaw-dropping change. Both a future-proofed and future-readiness approach to business continuity should be included in business and strategic acumen.

Future-proofing is a narrow, defensive view of anticipating future disruptions to the organization and developing processes to minimize the specific effects on operations. An unfortunate side effect is less agility. Future-readiness is the broader view that emphasizes building resilience and creating options.

Join this session to hear about a more strategic perspective of the scope, intent, and practice of business continuity.

The need to prioritize your team's mental health and wellbeing is consistently among the top three trends in almost every industry's 2022 prediction. Four-day work weeks, paid spa days, and "doona" days are just a few initiatives that have been introduced in various industries. But are they working?
A recent study from Deloitte discovers that “despite evidence that time off can help workers avoid burnout and perform at their highest levels, most workers have not been taking enough of it.”

How do we close the gap between needing time off and actually taking it? In this session, we are not going to talk just about why, but we will focus on the how. It is time to build a “rest ethic” that is as strong as your work one.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Identify initiatives that can be used to support a team’s wellbeing; and
