Meetings are among the most inscrutable activities in business. In some industries, they are derided as time wasters that take people away from real work. And in others, meetings are where the real action is. It’s where decisions are made, products are green-lit, people get hired – and teams get fired. Meetings are where we design our future and where we create change. Meetings can consume over half of a manager’s time. And yet, most organizations don’t have a clear strategy or set of operating principles to get the most out of their gatherings.

Tom Wujec, creator of PMI’s Wicked Problem Solving course, will demonstrate how to design, run, and improve meeting architecture. You will learn how to identify what jobs your meetings can accomplish, select plays, have concise courses of action, perform those jobs, and engage people at all levels of seniority to shift from passive bystanders to active participants. This session will feature interactive tools on shared Miro boards to help participants design the meetings they need and connect them to their organization’s strategic aspirations.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Describe how to design and run meetings to serve their team’s strategic goals;
  • Identify the four classes of meetings (team, project, client, and change) and the specific types of meeting within each class;
  • Design better meetings by selecting or crafting specific plays for each meeting type; and
  • Describe how to engage meeting participants by instructing them with clear, relevant, cogent tasks which can be shared on a shared visual space.

Many people will walk out the door or even to their graves with about 80% of their knowledge. What a travesty! We manage projects to deliver solutions, and we can manage knowledge to optimize projects and solutions. The absence of a knowledge-centric environment means that systems and people talk at each other rather than to each other. This is a risk that poses adversative challenges to organizations because it represents dysfunction in these critical types of knowledge/information flow, generation, and retention: (1) human-to-human, (2) human-to-system, and (3) system-to-system.

The Knowledge Café, a knowledge management technique, is an ecosystem for wisdom and co-creative innovation in projects, work, and personal lives. Human interaction remains the greatest enabler for the transfer of ALL human core capabilities and knowledge, and miracles can happen at the intersection of connected minds. Having a knowledge-centric learning environment simplifies the accessibility of facts, ideas, concepts and principles, while mitigating knowledge loss.

In this fascinating session, we shall explore how to create a knowledge-centric project environment, examine why it is needed now more than ever, identify simple tools to optimize project knowledge, and explore the indefectible café-power of co-creative innovation.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Explain how to create a Knowledge Café mindset and space that increases knowledge velocity, co-creative innovation, and efficiency; and
  • Describe a knowledge-centric project environment, its enablers, creation process, and values.

Currently, technology and business teams face numerous challenges — cultural, economic and organizational, in addition to technical. These problems don’t just affect individual teams; they are organizational issues and have an impact on every project within the organization.  If you are in the midst of your transformation, how do you know if you are on the right track? Do you think it is enough to implement the latest tool or become a high-performing team to transform your organization into a future state?

Harvard Business Review reported that companies are pouring millions into digital transformation initiatives — but a high percentage of those fail to pay off because skilled employees are a “must-have” requirement to start the digital transformation journey. Project teams, as well as organizations, need to reach a collective thinking state, which is a way of obtaining a comprehensive understanding of challenges and finding better ways of tackling them. Measuring the maturity of collective thinking in teams is a way of obtaining a comprehensive understanding of the future state and helps us to achieve transformational change. In this session, we will discuss the key elements of transformational change and a simple way to measure the maturity of your digital transformation efforts.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Describe a simple model to measure the maturity of their digital transformation based on different dimensions and ways to improve; and
  • Explain what collective thinking means for teams and organizations, and how to reach the collective thinking state.

According to a recent Forbes study, 4 out of 10 tech leaders are failing due to the lack of effort that the industry puts into developing its leaders.  In fact, 32 percent of tech leaders reported that they never meet for performance discussions with their manager, which would be an opportunity for mentoring. Not having the right skills leaves technical project managers open to project failures and cancellations. This session shares practical guidance for getting better results by addressing project definition, project status, and project readiness review — the three most challenging moments that can make or break any project and which often come with stressful decisions.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Develop confidence around the three key inflexion points in the project lifecycle; and
  • Address the issues of leadership training and how to request development meetings with superiors.

  • Analizar los “desafíos clave” en los proyectos de Data Science (DS) e Inteligencia Artificial (IA) Y convertir estos en alertas que se pueden utilizar para planificar y supervisar proyectos;
  • Utilizar el marco de PMI para proyectos de Data Science (DS) e Inteligencia Artificial (IA) a fin de ayudarlos a construir escenarios y para estar preparados para los desconocidos-desconocidos.

This session will begin with research-based findings of the extreme impact that trust has on the performance of projects. It will continue with a brief overview of the eight laws of trust and six components of trustworthiness. We will then address specific issues related to trust in project teams, such as team size, global working, leadership, and more. Finally, we will review the methodology and a new Google Sheets-based tool that helps identify dependency relationships in the project team, the trust levels within them, the causes of low trust, how it could be improved, and when tough project team decisions must be made.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Examine the dramatic impact that project team trust level has on project outcome and performance (on schedule, on budget, on specifications), and how trust is built; and

Globally, industries across sectors are experiencing fundamental transformation in their business models. Organizations are challenged by pressures to reduce cost and improve coordination, quality and outcomes. For them to better manage their businesses, they need to ensure that all activities are aligned to marketplace, strategy and competencies. If projects are to succeed on time and on budget, the approach of “project management” with traditional approaches must change. There is a need for new age philosophy which entails the right mix of core competencies and accountability. The BUILT (Business Agility, Unified Governance, Innovation Culture, Learning Organization, Team and Technical Agility) framework has the key variables that can drive this change.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Demonstrate the usage of the BUILT framework which entails the right mix of core competencies and accountability; and
  • Describe how existing project management techniques can be modified to suit organizational needs to succeed on time and on budget.

When the U.S. Army released the long-awaited critique of its successes and failures in the Iraq War, many questioned how honest the Army would be with itself. A review of the documents, however, revealed an unflinching account of some of the Service’s key failures in planning and executing military operations at all levels of engagement—strategic, operational, and tactical. One explanation is that Army leaders did not fully understand the operating environment in Iraq—its totalitarian government structure, tribal allegiances, underlying ethnic tensions, and aged infrastructure. Planning assumptions were made without the insight, advice, and counsel from key individuals whose expertise would have been beneficial.

How could such a well-trained Army, led by senior officers with decades of experience and education, miss opportunities to engage with these stakeholders? The answer is that our senior officers, for the most part, are not educated in stakeholder management—that is, how one engages others with sufficient power and influence or interest to solicit diverse inputs and opinions to address complicated or complex problems.

This session seeks to bridge a perceived knowledge gap with leaders and their executive communication skills by introducing a more disciplined, formal approach of identifying, prioritizing, and engaging stakeholders. These new and creative ways to conduct stakeholder management are based on techniques borrowed from the private and commercial sectors.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Discuss how to better identify their stakeholders; and
  • Demonstrate more confidence in how to approach stakeholder engagement.

“According to the United Nations, we may now be looking at an impending international mental health crisis. Some have called this the ‘hidden’ pandemic: people who previously coped well may have challenges and people who had challenges coping before COVID-19 may have increased challenges,"  stated Dr. George Everly, Jr., a psychologist and professor at the Johns Hopkins University Bloomberg School of Public Health, Baltimore.

As we look at the consequences, challenges, lessons learned and vulnerable moments of fear and uncertainty faced during the pandemic, the goal is to move forward in an equitable and intentional way. The new post-pandemic workspace landscape will require increased self-awareness, and the use of specific tools: emotional intelligence, empathetic leadership and resilience. To cultivate the resilience mindset, we need to learn how to stay present with our emotional data and continue to be present with our teams as we navigate this new world.  This session will provide a deep dive on how to harness emotional intelligence and empathetic leadership as tools that are critical as we plan for an equitable post-pandemic recovery. This session will be of value to leaders, project management professionals and others cross-functionally, worldwide and throughout various industries. Let's collectively rebuild resilience practices.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Discuss how to prioritize emotional intelligence in workspaces and utilize the necessary skills to lead with empathy; and
  • Describe the tools needed to cultivate and sustain the resilience mindset.

If great progress follows great chaos, then we are in a time of almost endless possibilities when it comes to organizational change and transformation. The pandemic has demonstrated what people can accomplish when united in purpose and mission. Organizational change management (OCM) strategy enables project managers, project teams, and business leaders to focus on the mission and goals as they work to bring about change at the intersections of people, process, and technology. Leaving the brick and mortar organizations of the past, we must now consider work in a virtual world, external factors, and larger groups of global stakeholders that can impact (positively and negatively) the realization of the anticipated change.

Organizations are facing more demand for innovative solutions, and there is an exciting way forward to manage change more efficiently and effectively and to help people adapt. This session will explore the following topics:

  • Coming out of chaos
  • Term debunking: change management versus OCM - why words matter
  • Governance and clarifying the roles of organizational change managers and project managers (time versus timing)
  • 2021 trends and looking ahead
  • How to make agile change work for you.

LEARNING OBJECTIVES:

The year 2020 taught us about building a successful diversity, equity, and inclusion (DEI) strategy and that societal issues do impact the workplace. First, we witnessed an unprecedented disruption to the modern workforce with the impact of the pandemic. Later, we saw a wave of social activism that had not been seen in decades. These milestone shifts in our business and societal landscape will change many aspects of how workplaces will function, and inclusivity is now a key performance indicator that must be scaled globally through advances in technology, including artificial intelligence (AI).

This session will examine the role that DEI played in helping workplaces navigate the many disruptions of 2020, the impact of DEI in the workplace looking forward, how to ensure your company experiences a successful and sustainable DEI strategy in 2021-2022, and new and revolutionary tech strategies for managing and scaling inclusive behaviors in the workplace anywhere in the world.

Megatrends: Mainstream Artificial Intelligence

Speaker(s) Region(s): Europe and Sub-Saharan Africa

The news you read in the morning has the power to influence the decisions you'll make throughout the rest of your day. In one way or another artificial intelligence (AI) is all around us, impacting the decisions we make – whether we are aware of this or not. But the data that feeds the algorithms behind this AI must come from a valid and reliable source in order to make them so powerful – and this comes from you and me, as well as all the people interacting with the products and services that make our life easier.

Why is this important to you as a project management professional? The way your stakeholders react to AI and behavioral data will dramatically impact the way your project progresses, including your communication and risk management plans. It can also potentially affect your budget and your timeline.

Motivated by the Playbook for Project Management in Data Science and Artificial Intelligence Projects released by PMI in November 2020 along with a subsequent feasibility study carried out in 2021 with transformation managers and directors, this session will focus on the key challenges in AI and data science (DS) projects and reinforce the need for PMI’s framework in such projects.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Discuss the key challenges in DS/AI projects and how these can be used to plan and monitor their own projects; and
  • Use PMI's framework for AI/DS projects to help build scenarios and prepare for known/unknowns.

Session 424: How Crowdsourcing Risks and Opportunities Will Avoid Surprises and Build Team Spirit

PMI Talent Triangle:

Megatrends: COVID-19

How do you assure that risks and opportunities are seen by the right people at the right time so that teams can act at the right moment with skill and confidence? Extending the boundaries of what is possible in their response strategies is how a project team builds resilience.  As we emerge from the COVID-19 crisis, the question should not be, “How do we get back to normal?” Instead, the question must be, “How can we make it better than before?”

Organizations that fail to embrace modern risk management will likely be overwhelmed as the pace of change in the decade ahead will accelerate faster and faster. The rate of learning must be faster than the rate of change, which can only be achieved by open and inclusive risk, and opportunity management where every voice is heard with equal weight.

In such a modern approach to risk management, the ultimate goal is to make better risk-informed decisions at all levels. It’s not about who was right or wrong, it’s about what is the right thing to do. This session will explain what crowdsourcing risks and opportunities entail and why it is an unprecedented value-add in any project, especially now as we see the hybrid workplace becoming the new normal. We will then present a solution to help you do this in a simple, inexpensive, and effective way.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Discuss how to avoid surprises and build team spirit; and
  • Explain what crowdsourcing risks and opportunities entails and how to apply it in their project.

Successful change requires a technical solution that is designed, developed and delivered to meet the issue or opportunity in front of us that is ALSO engaged, adopted and used by the people who have to bring the solution to life in their work. Unfortunately, the people side of change is often left to chance or addressed too late – resulting in avoidable costs and risks, resistance, and ultimately falling short on delivering the portion of project ROI that depends on adoption and usage. But it doesn’t have to be that way. Change management provides a structured and repeatable approach to improve adoption and usage of solutions. And when effectively integrated, change management and project management create a unified value proposition and improve change success. Join Tim Creasey, Prosci’s Chief Innovation Officer, to explore how to improve project outcomes by bringing together change management and project management in practice and in your professional development.

LEARNING OBJECTIVES:
At the conclusion of this session, attendees will be able to:

  • Explain the Unified Value Proposition of project management and change management; and
