What is not included that I can expect to pay for?

What should I tip?

Customary gratuities have been taken care of on your behalf for all hotel and airport staff, as well as all staff involved in our functions. Gratuities for services you book yourself (tours, spa, or salon services) are not included and would be at your discretion.

Do I need to have health insurance coverage in order to travel?

We highly encourage all travelers to carry proof of health insurance coverage. Mandatory health insurance coverage for entry into foreign countries can be required. Participants can be denied entry into countries that request proof of health insurance coverage and are unable to provide documentation. Medicare coverage does not apply or cover any medical needs outside the U.S. unless travelers have supplemental insurance such as Medicare Advantage and Medigap.

I would prefer to book my own flights. Can I do so? If so, how do I get reimbursed?

Yes, of course! The air credit amount (maximum) for your tickets for this program is $625 per person. If you opt to take the air credit, please be advised you must provide Brightspot Incentives & Events with an official receipt or invoice showing the full itinerary and purchase amount for each traveler before your air credit check can be issued. After we’ve received your proof of purchase/itinerary, we’ll send your check to the address you provided at registration (you may specify another address, just be certain to let us know where you’d prefer to have your check sent when you request your air credit).

What kind of airfare is included in my package?

Your package includes round-trip economy class airfare for you and one guest from your home city on the group arrival and departure dates. Additional costs may apply if you choose to extend your stay, upgrade, or travel on alternate dates.

Can I pay to upgrade to first class / business class / premium economy?

Our air team can provide you with the cost of upgrading to a premium cabin or seat upon request. Many airlines have premium seats with extra legroom and priority boarding for an additional cost. These seats can be purchased through our air team after you complete registration.

How long do I have to confirm my itinerary after the air team has contacted me?

Fares and availability are always subject to change until ticketed. You will have 24-hours to approve your flight itinerary until it expires.

Can I make changes to my itinerary after my ticket has been booked?

Any cost associated with changes made beyond the 24-hour cancellation timeframe after the tickets have been issued will be at your expense. A Fare difference may apply for changes made during the 24-hour period after the ticket is issued, but the change fee will not apply.

When will I receive my pre-trip and travel documents?

You will be emailed your flight itinerary once your flight has been booked. You will receive your pre-trip documents (luggage tags, agenda, etc.) approximately 2-3 weeks before you depart.
