Swapcard Virtual Platform – Prepare for the Virtual Conference
For the best user experience, please use the below technical tips:
• A device that is connected to the internet, either by ethernet or WiFi (preferably a computer; tablets and mobile devices can be used if necessary).
• A stable internet connection (check your internet speed by clicking here; some slower speeds will result in slower loading times for our web pages).
• A platform-supported web browser, we strongly suggest using Google Chrome when navigating the virtual conference. Click here to download Google Chrome if you do not already have this web browser on your device. The platform works best with Chrome or Firefox. Internet Explorer is not a supported browser. If you are experiencing blank pages or streaming issues, please switch to one of these two browsers if you have been working on another browser.
• Zoom downloaded to your device. Make sure you have the most up-to-date version of Zoom. Click here to download Zoom if you do not already have this program on your device.
• After logging in for the first time and completing the set-up of your account, go back to the home page to bookmark this page. This will make it easier for you to sign-in and access your account throughout the conference.
Tech Tips:
• Update your website settings in your browser to allow pop-ups.
• Please add the below email addresses to your ‘approved whitelist/save sender’s list to ensure you receive all of your virtual conference emails: noreply@swapcard.com & hello@swapcard.com
• Should the video player become unavailable while viewing a session, please refresh your broswer. If the video is still unavailable following a page refresh; it is most likely a security setting on your browser, device, or network blocking access to the content server. We would recommend trying the following:
1. Try accessing the site from another browser (this gets around any browser settings that could be blocking access). If you are on a PC you should have access to Edge and if on a Mac it will be Safari.
2. Open an Incognito Window and try to access the content through this (this gets around any cached or bad data that could be held in the browser).
3. Try on a different device (Mobile or Tablet, if you are viewing on a desktop).
4. Please note that videos are not hosted on Swapcard and that the platform only acts as a "gateway" to the event's video content.
Platform Navigation:
1. What time zone is used for the sessions and meetings?
By default, the system follows your device’s time zone. But you have an option to switch to your event’s time zone on the event home page in the event description area.
2. Where can I see My meetings, Sessions, Bookmarked Companies, Product Wishlist?
You can see them under the “My Event” tab. This tab is sometimes renamed by the organizers as “My Agenda”, or “Personal Schedule”…
3. How to book a private meeting with a person? (if your event is using this feature)
Go to a person's profile, by going to the list of attendees or on an exhibitor profile. Click on one of the proposed meeting slots. If you want to see other slots, click on "see more slots". After selecting a slot, choose a meeting place and write a message to the person you want to meet. Once done, click on the arrow at the top right to send your meeting request. A pending meeting is blocking a meeting slot. If your meeting is not confirmed or refused after a few days, do not hesitate to cancel it in order to free the blocked meeting slot.
Meeting notifications: Automatic notifications are sent when you receive a meeting request, but also as a reminder a few minutes before the meeting starts as a reminder. Similarly, when you cancel a meeting, your contact will be notified.
4. Where do I go to send a connection request? You need to navigate to the profile of the user to whom you wish to send a connection and use the “Send a Connection Request” box on the right-hand side of the page.
5. Where can I see all of my messages?
You can see all of your messages under the “messages” icon on the top of the web app page.
6. Where can I see all the notifications?
All notifications are shown under the “Notifications bell” icon.
7. How to add a bio to my profile? To add a bio, go to the "My Profile" tab and then click "Edit" in the "Bio" box. Describe yourself in a few words then go back to save.
8. How to add a photo to my profile?
To add a profile photo, go to the "My Profile" tab and then click on the box with your name and then on "Edit" in the box with your empty profile picture. You will arrive on the next page and by clicking on the empty circle of your profile photo, you will be able to select a photo and then crop the photo. Once the photo has been cropped, you can validate it by clicking on ✓ at the top right of your screen. You can also take a photo when editing your photo by clicking on "Camera".
Login Tips:
• If you are having issues accessing the site, please click the link below to enter your email address to generate a sign-in email. If you are still experiencing issues, please email virtual@conferencedirect.com
• Did not receive login email: The login email or the “magic link” email is an automated email that is sent from hello@swapcard.com. If you do not see it in your inbox it is most likely in your spam folder or might be blocked by your company’s firewall if you are using your work email address. If your company is blocking our email, please have them whitelist "noreply@swapcard.com" & "hello@swapcard.com" and then go to the login page to receive a new magic link email after entering the email address you used to register for the event.
• Your access email invitation included a magic link that has a security token personalized for your email address which is valid for 48 hours for security reasons. If you think your magic link may have expired or need additional technical assistance, please send an email to the support team at virtual@conferencedirect.com.
• If you have recently registered and have not yet received a login email, it's possible that your registration data has not yet been synced with our platform. Please wait for the login email or check your spam or junk email. The email comes from "noreply@swapcard.com" or "hello@swapcard.com". If you're not getting any emails, even after having asked your company to whitelist our email addresses, please email virtual@conferencedirect.com.
• Email address not recognized: If your email address is not recognized, it means that you've either registered for your event with a different email address or there was an email typo at registration or when you tried to login. Please note that If you have recently registered and have not yet received a login email, it's possible that your registration data has not yet synced with our platform. Please wait for the login email or check your spam or junk email. The email comes from "noreply@swapcard.com" or "hello@swapcard.com".
