Terms and cancellation policyIn this section, you will find information on payment terms and cancellation policy for your room reservation. Please be aware that different conditions apply depending on the number of room nights.
General Information:
Group Booking Prepayment / Deposit Prepayment/deposits will be paid in instalments — as below. Unless otherwise specified in the hotel room contract, the final agreed instalment is subject to payment no later than 60 days before the first date of arrival. The prepayment is deducted from the final invoice. If cancellation fees apply, the pre-payment will be deducted in the calculation of cancellation fees as stated under Cancellation and Reduction. A deposit not paid within the agreed terms of payment will be considered as a cancellation of the reservation and Cancellation terms and Conditions (see below) apply.
Invoices are payable as stated in the invoice. All amounts not paid upon their due date, will automatically carry penalties and interest in accordance with Danish law and regulation from the time they fall due, in favor of OrgaNicer and without any formal notice. Any disagreement regarding an invoice should be made in writing and acknowledged by OrgaNicer within 10 days of receipt of the invoice. 60 days prior to arrival full payment must be settled. If bookings are made later than 60 days prior the arrival date, full payment must be settled before 3 days receipt of the invoice. Deposit:

Late arrivals and early departures are paid by the individual upon check out unless otherwise agreed.
Information about Credit Card Payment Fees Commercial cards issued within or outside of the EU/EEA as well as private payment cards issued outside of the EU/EEA will be charged a fee, which will appear on your receipt. The fee rate varies depending on the type of card and the issuing country. All transactions with American Express cards will be charged a fee.
Cancellation Policy A cancellation is when a customer wholly or partly makes a total cancellation, reduction, relocation, or similar changes to the agreed upon hotel services. Hotel packages can only be cancelled in full. Important! If you book nights at more than one hotel, the booked hotels are to be considered as individual hotels, and the abovementioned payment terms apply for each hotel.
Cancellation & Reduction Terms & Conditions (5 room nights or less):
No shows, late arrivals, or early departures result in compensation equivalent to the full price of booked nights. NOTE: If a company (defined by the same name, CVR number or shared address) books more than 5 nights for the same event, this is considered as a group booking. This is regardless if the orderer may be different people.
Cancellation & Reduction/Attrition Terms & Conditions (6 room nights or more): The client may cancel the contracted hotel rooms with no charge up to 180 days prior to arrival. After this date (180 days) no more than 35% of the reserved rooms per day can be cancelled.
Example: If a total of 35% has already been cancelled during the period 180-150 days, it will not be possible to make any further changes or reduction without incurring a charge. If, for example, 5% has been cancelled during the period 180-150 days, it is possible to cancel additional 5% during the period 149-120 days, so the total cancellation does not exceed 10% of the final reserved event.
In the case of no shows, late arrivals, or early departures, OrgaNicer and hotel is entitled to compensation corresponding to the full price of the complete, booked nights.
Reservations and disclaimers: OrgaNicer exclusively mediates the rental of hotel rooms between the client and the hotel. OrgaNicer is therefore not liable in the event of cancellation/change or non-delivery of the above-mentioned services and their condition. OrgaNicer does not accept any commercial responsibility for this.
We reserve the right to make price changes and printing errors.
Rooms cannot be cancelled by the hotel except in case of Force Majeure. Force Majeure means, in relation to either Party, any circumstances beyond the control of that Party which prevents the Party from performing its obligations, including without limitation natural disasters, blockades, war and other military conflicts, riots and terror attacks. ![]() |
