Exhibitor Hotel Sub-Block Request
Welcome valued exhibitors! NAVC has negotiated special discounted hotel room rates at a variety of Orlando properties. Exhibitors can request sub-blocks within our current inventory. ConferenceDirect is the official housing bureau for the VMX 2027: Veterinary Meeting & Expo.
2027 Sub-Block Process:
Determine which hotel(s) suit your needs.
Property assignments are based on VMX Partner Level and availability. Higher-level partners receive priority in the assignment process. Click HERE to see how Priority Points and Partner Levels work.
Hotel sub-block requests must be a minimum of 15 rooms.
The Sub-block Request site will be closed after Friday, Oct. 30, 2026. Please plan accordingly to ensure your housing needs are met in time.
The Housing Bureau will confirm your block and hotel and send further booking instructions.
Your 2027 request will be approved based on the number of rooms you actually used in 2026.
Important Dates:
Friday, Oct. 30, 2026: Last day to submit a sub-block request.
Monday, Nov. 9, 2026: Deadline to Assign Rooms - Your block must be finalized (i.e. rooms booked) with individual guest names and details.
Tuesday, Nov. 10, 2026: Any rooms in your block that do not have actual names assigned (i.e are not booked) will be released for general sale. Reservations must include unique names so that they are not marked as duplicate reservations and possibly forfeited by the hotel.
Expo Hall Dates and Times:
Saturday Jan. 16 - Expo Hall Open
Sunday Jan. 17 - Expo Hall Open
Monday Jan. 18 - Expo Hall Open
Tuesday Jan. 19 - Expo Hall Closes at 2:00pm
Cancellation Policy for Sub-blocks for 2027: You are required to read and agree to this policy as part of the sub-block request process. Submissions will not be accepted without your agreement to this policy.
There will be a $275 cancellation fee (updated fee amount) for any guest room cancelled anytime after Monday, Nov. 9, 2026. Should you cancel, this charge will appear on your credit card statement as “CONFDIRECT*VMX2027". Cancellations made directly with the hotel will also incur this fee. Individual hotel cancellation fees also apply. Please see those cancel fees and policies on the housing site when booking.
NOTE: Cancellation fees do not apply when changing your dates of stay.
