Exhibitor Hotel Sub-Block Request
Welcome valued exhibitors! NAVC has negotiated special discounted hotel room rates at a variety of Orlando properties. Exhibitors can request sub-blocks within our current inventory. ConferenceDirect is the official housing bureau for the VMX 2026: Veterinary Meeting & Expo.
2026 Sub-Block Process:
Determine which hotel(s) suit your needs.
Property assignments are based on VMX Partner Level and availability. Higher-level partners receive priority in the assignment process.
Hotel sub-block requests must be a minimum of 15 rooms.
The Sub-block Request site will be closed after Friday, October 31, 2025. Please plan accordingly to ensure your housing needs are met in time.
The Housing Bureau will confirm your block and hotel and send further booking instructions.
Your request will be approved based on the number of rooms you actually used in 2025.
Important Dates:
Deadline to Assign Rooms: Your block must be finalized with individual guest names and details by Thursday, November 6, 2025. Effective Friday, November 7, 2025, any rooms in your block that do not have actual names assigned will be released for general sale. Reservations must include unique names so that they are not marked as duplicate reservations and possibly forfeited by the hotel.
EXPO HALL DATES/TIMES:
Saturday Jan. 17 - Expo Hall Open
Sunday Jan. 18 - Expo Hall Open
Monday Jan. 19 - Expo Hall Open
Tuesday Jan. 20 - Expo Hall Closes at 2:00pm
Room rates are for single/double occupancy and do not include applicable taxes and fees. Rates may increase with additional occupancy. All distances are calculated from the South Concourse entrance, inside the Orange County Convention Center’s South Building.
* Hyatt Regency Resort Fee will be assessed daily and includes: premium internet access in guestroom, 24-hour access to StayFit fitness center, 25% discount on spa and salon services, 25% discount on cabana rentals (based on availability), recreational activities at Grotto pool; two (2) I-Ride Trolley tickets to the International Drive area, and two (2) bottled waters per day.
Cancellation Policy for Sub-blocks for 2026:
You are required to read and agree to this policy as part of the sub-block request process. Submissions will not be accepted without your agreement to this policy.
There will be a $250 cancellation fee for any guest room cancelled anytime after Monday, November 10, 2025. Should you cancel, this charge will appear on your credit card statement as “CONFDIRECT*VMX2026". Cancellations made directly with the hotel will also incur this fee. Individual hotel cancellation fees also apply. Please see those cancel fees and policies on the housing site when booking.
NOTE: Cancellation fees do not apply when changing your dates of stay.
