Cancellations & Substitutions

FOR SPONSORS:
Sponsorship cancellation requests received in writing on or prior to 60 days to an event will qualify for a refund, less 20% administration fee retained by Opal. If canceled between 59 and 30 days preceding Conference start date, the sponsor will receive a 100% credit of fees paid, applicable toward a mutually agreeable future Opal conference. No credits will be given on cancellation requests received 29 or fewer days preceding Conference.

FOR CONFERENCE REGISTRANTS:
Registration cancellation requests must be received in writing 30 days prior to an event. Cancellations made after this are subject to the 2 nights’ accommodations charge.

Should the original delegate be unable to attend, a substitute delegate is welcome at no extra charge up to
24 business hours prior to a conference. Please contact Opal Summits to update any participant registration details.

If an event is cancelled, Opal Summits is not responsible for any airfare, hotel or other costs incurred. Speakers, agenda and other events are subject to change without notice.

FOR CONFERENCE HOTEL RESERVATIONS:
Sponsorship cancellation requests received in writing on or prior to 60 days to an event will qualify for a refund, less 20% administration fee retained by Opal. If canceled between 59 and 30 days preceding Conference start date, the sponsor will receive a 100% credit of fees paid, applicable toward a mutually agreeable future Opal Summits conference. No credits will be given on cancellation requests received 29 or fewer days preceding Conference.

Upon receiving your reservation, Opal will charge the reservation in full. Once Opal receives your room request, the following cancellation policy is in effect.

    Participants can reduce their stay prior to 4 weeks without penalty.Participants canceling their entire stay prior to 4 weeks will forfeit one night deposit.Participants canceling an all-inclusive package 4 weeks or fewer days preceding the event will be charged for 2 nights’ hotel accommodations per person.Name changes are accepted without charge prior to 2 weeks before the event. Name changes after this period will incur a fee of $25 USD.

Upon the conclusion of the conference, all reservations will be reviewed and any additional nights and/or misc. charges to prepaid reservations will be charged to your credit card as well.

NO-SHOW POLICY:
If a guest does not check-in on the reserved check-in date (and has not notified the hotel of any changes), the room will be subject to release. If the room is released, deposits will not be returned and guest credit card will be charged for the entire stay.
