How do I make my airline reservations?
The process of booking travel begins by filling out the Travel component within the registration form under the "Register" tab. Once. your registration is submitted, the ravel information will be sent to the air travel department. An itinerary will be created combing your preferences and certain event guidelines (e.g. coach travel) and sent to you via email. You will have 24 hours to confirm the itinerary by responding to the air department. If you wish to make travel plans that deviate from the official program dates, please discuss it with the event travel staff as additional cost will be incurred and will be your responsibility. A detailed itinerary will be sent to you upon completion of your registration.
Can I extend my stay?
If you need to extend your hotel stay our event concierge would be pleased to assist you with any pre- and post-stay extensions. Indicate your requested dates in the hotel section under the "Register" tab. The event concierge will contact you to inform you of availability. If you need to cancel or make changes to your hotel extension, please contact the event concierge at least 14 days prior to your reservation date or you may be charged a penalty equal to one night's room and tax. Please note that you will be responsible for your own ground transportation to/from the hotel if you do extend your stay. Additionally, the event travel staff will advise you of the best options to minimize your expense for the extensions.
Can I upgrade to First Class?
If you wish to upgrade your ticket to first class, our air travel department would be happy to assist you with this request. Please make the request in the notes section of your registration form to ensure the request is made. Should you choose to upgrade your ticket, you will be responsible for the cost difference between a coach class ticket and first class.
May I rent a car?
If you choose to rent a car for the day, you can rent one through the concierge desk. You are responsible for making rental car arrangements on your own as well as for the cost of the rental.
Will there be any out-of-pocket costs?
During the official dates of the event, expenses associated with airfare, ground transportation to and from the airport, overnight accommodations, and sponsored meals and activities will be covered for you. All incidental charges (e.g. room service, in-room private bar, dry cleaning, phone calls, faxes, business center charges, etc.) incurred during your stay will be at your own expense.
Will I be responsible for any tips or gratuities?
We've got it covered! All tips and gratuities for airport and hotel porterage, and housekeeping are included. Gratuities for additional activities or services outside of the program are at your own expense.
What if I have special dietary requirements?
Please note any dietary requirements under the "Register" tab when you register and we will be more than happy to accommodate these requests.
Once I've registered, can I change my mind?
You will be able to make changes based on availability, at any time while registration is open. After registration closes, you will be responsible for any additional costs/penalties incurred due to changing your airline schedule, extending your hotel stay or changing your choice of leisure activity.
What is weather like in February?
During the month of February, the average high is 70 degrees with evening temperatures in the low 50s. We recommend packing a sweater/jacket.
What should I pack?
We highly recommend that you pack at least one change of clothing and any important personal items in your carry-on luggage.
