BE THERE Team Lead - FAQ

What is my role as the BE THERE Team Lead?

  • The role of the Team Lead will be to lead, engage, recruit, and encourage club teens to participate in the Virtual Teen Summit to represent your organization.

What are my responsibilities as the BE THERE Team Lead?

  • You will attend a brief BE THERE Team Lead orientation.
  • Your role from the start is to develop your teens into a strong voice for your BGC and community. Recommended to conduct a short orientation with middle and high school participants which includes motivational factors like promoting a common goal of participation in the Virtual Teen Summit, safety, and create positive experiences.

What aspects of safety should be considered for the Virtual Teen Summit?​​​

  • To Recommended to obtain/or update photo/media release form, club member code of conduct, etc.
  • To Recommended to obtain parental consent form from every participant.
    • Parental consent forms can be distributed in paper or via electronic means. For instance, there are a variety of digital consent form services out there – an online survey may suffice, so long as Staff are assured the right individual (parent) is the individual to complete the form. Verbal consent is not sufficient.
  • Communications and Supervision Policy – BE THERE Team Lead should not communicate directly with individual youth through digital means. More than one staff must be on all outgoing and/or incoming communications and it must target or include a group, or ideally all, youth members. This ensures compliance with the prohibition with the 1:1 contact policy.
  • Personal contact information sharing – BE THERE Team Lead should monitor and prohibit personal contact information sharing. Personal contact information includes phone number, social media addresses.
  • Additional policy and safety implications are needed to ensure the Virtual Teen Summit experience is safe:

Online security – BE THERE Team Lead should have a way to know the members in their session are part of their Clubhouse.

 

*Pre-recorded and Live Sessions

Participants will join conference platform to participate in the remote experience.  Day 1 and 2 will be pre-recorded sessions to accomodate all time zones and on Day 3 we will come together synchronously (at the same time) as one another to celebrate on our finale with cultural showcase and live DJ. 

Club Swag

All registered organizations will receive 15 t-shirts, glow sticks, and STEM kits along with a monetary award to provide youth with incentives, food, etc.  In addition, participants can compete on a virtual leader board throughout the conference to secure recreation equipment for your organization.
