Covid-19 Information Subject to Change Per CDC Recommendation

We are so excited to be taking you all to Thailand! We want you to know that our first priority is health and safety while traveling.
 
INFORMATION ABOUT THE CDC TESTING REQUIREMENTS
 
Information Subject to Change per CDC Direction

According to the CDC, air passengers entering the U.S. will be required to present documentation of a negative COVID-19 viral test (called a Qualifying Test) conducted within 3 days before their flight departs to the U.S.

  • Documentation should be for a viral test (NAAT or antigen) as approved or authorized by the relevant national authority.
  • Test results must state: Negative, SARS-CoV2 RNA Not Detected, SARS-CoV-2 Antigen Not Detected, or COVID-19 Not Detected. Invalid will not be accepted.
  • Documentation may be paper or electronic copy and must include the name and contact information for the laboratory or healthcare personnel who performed the test.
  • Test results may be required to be shown again upon landing.

Alternatively, passengers may provide documentation of having recovered from COVID-19 with documentation of test results conducted during the 3 months preceding the flight’s departure from a foreign country.

  • Test results must state: Positive, SARS-CoV2 RNA Detected, SARS-CoV-2 Antigen Detected, or COVID-19 Detected. Invalid will not be accepted.
  • Additionally, a letter from a licensed health professional stating that the passenger has been cleared for travel (called Documentation of Recovery) is required.

All airline passengers will be required to present a simple CDC attestation form to the airline for collection prior to boarding.  

Finally, Midwest has purchased travel insurance for your upcoming trip! We work with Arch RoamRight® to provide each participant a travel insurance plan which includes coverage for trip delay; emergency medical treatment or evacuation; lost, stolen, or damaged baggage; or baggage delay. Please note that this plan does not include trip cancellation. Coverage begins once you depart on your trip. The plan also includes non-insurance services of Worldwide Emergency Assistance supported by UnitedHealthcare Global. Please expect to receive an electronic version of your unique ID Card and Confirmation of Benefits just before your travel date. Your Arch RoamRight ID Card will provide contact information for customer service inquiries before, during, and after your trip.

Elephant Day & Hill Tribe

Enjoy the magnificent Northern Thailand community that will reveal the life of an elephant caretaker and let you get up close to his best friends, the lovely elephants. Wash, feed, and even ride these gentle giants! This is guaranteed to be a highlight of your stay in Chiang Mai.

After visiting the elephants, you'll continue to the agricultural community of Tong Luang Village. Many people from different hill tribes live peacefully together in their own traditions as they farm and garden the earth. Take a stroll through the village and enjoy fresh air and an interesting atmosphere full of culture and history. A Thai buffet lunch will be provided exclusively at Baan Tong Luang. As you eat, you can enjoy the beautiful landscape of mountains and rice paddy fields.

Discover Bangkok

Begin your day on long-tail boats or motor boats and cruise through the klongs (canals) that give Bangkok the name, “Venice of the East.” Here you will discover the most important shrine in the Kingdom, the Grand Palace. This spectacular site is home to the sacred Emerald Buddha which dates back to the 14th century! Experience an exciting tuk tuk ride as you pass by inner Bangkok and Pak Khlong Talaat, the fragrant flower market that fills the city’s streets with the floral perfume of a thousand blossoms. The tour will conclude with a visit to the Reclining Buddha Temple – a must-see for interesting architecture, history, and a 46-meter long golden Buddha.

Dress Code: For religious reason, women should have their knees and shoulders covered and gentlemen should wear long trousers and short-sleeved shirt.

Damnern Saduak Floating Market

The floating market is located in the Ratchaburi province. The province of Ratchaburi is 100 km from Bangkok. Enjoy a leisurely and scenic drive through the countryside. Along the way, see salt farmers working in the salt field.

A stop is made at a local farmhouse to see the preparation of coconut sugar. Explore Damnernsaduak in a long tailed boat as it winds its way through busy canals, passing boats with vendors selling fruits, food and other commercial wares.

Return to Bangkok (lunch en route at Sampran Riverside).

Lanna Cultural Tour (City & Temple Visit)
 

Take an adventure through Chiang Mai. From the hotel, start with a short ride to a local flower market (Warorot Market) where you will have an opportunity to observe local lifestyle and enjoy the scenic view of lovely Chiang Mai town. Visit the most renowned temple in Chiang Mai - Wat Phra Thad on Doi Suthep. Situated high in the mountains surrounding Chiang Mai, Doi Suthep is the guardian temple of this wonderful city.  After a climb of 290 naga steps you will be rewarded by this beautifully gilded temple and superb panoramic views over the city. Then, transfer to Umong temple. This old temple was built in 1297 by King Manglai of the Lanna dynasty. It is now widely known as a meditation center. Devout Buddhists from around the world visit to practice amid its peaceful atmosphere and minimalist structures.

A set of merit making according to Thai culture is provided for you to offer to the monks. At the end of the merit making session, the monks will pray for your good luck and sprinkle blessing water in return.

Dress Code: Shoulders and legs (at least to the knee) need to be covered. Shoes must be taken off to enter the inner part of the temples so bring shoes that can be quickly taken on and off.

Handicraft Factories Tour

Chiang Mai is Thailand's main handicraft center and is ringed by small cottage factories and workshops. Visit San Kamphaeng district, the heart of the silk and cotton industries and observe the fascinating process of making and weaving these popular fabrics. Continue to Bor Sang, the umbrella village, where delicate Thai paper umbrellas are produced and hand-painted.  Visit Thai Celadon, about 6 km north of Chiang Mai, where ceramics are produced. The pottery models and process are based on the Sawankhalok pottery, which dates back hundreds of years ago.  The pottery is exported all over the region. Before we return to Chiang Mai, pay a last visit to a small village where you can observe the intricacies of both lacquer ware and silverware craftsmen.

Thai Organic Farm Cooking Class

Escape from the bustling city for a day. Come learn how to prepare a Thai meal while enjoying the relaxing non-touristy countryside. On the way to the farm we will stop at a local market for a brief tour. Upon arrival at the school you will explore their organic farm with the chef.

See many different kinds of organic herbs, vegetables, and fruits that they proudly grow themselves. You will be given the opportunity to pick some of the fresh ingredients to use while preparing your favorite dishes in a spacious, well-equipped kitchen. Each person will have his/her own cooking station and attentive help from the chef.

Finally, we will enjoy the fruits of our labor and eat on a picturesque terrace overlooking a glittering fish pond.

Whom should I tip?

Customary gratuities have been taken care of on your behalf for all Four Seasons Resort Chiang Mai, Shangri La Hotel, and airport staff, as well as all staff involved in our functions. How can I use my Midwest Dealer Dollars funds on this trip?

Customers who wish to use any Midwest Dealer Dollars funds to cover any tours, upgrades, or extensions, must pre-pay directly to Morris Meetings & Incentives. Midwest does not have the ability to issue checks to a second party vendor.



 

REQUIRED DOCUMENTS

What type of identification/documentation is required for this program?
It is your responsibility to be in possession of the proper personal identification and travel documents for your trip. Guests without proper documentation will be denied transit and/or entry, and will not be eligible for a refund of travel or personal expenses. As requirements vary for each nationality and individual citizen's situation, we recommend all travelers verify their individual documentation requirements with their local consulate or a visa service, such as VisaCentral (http://visacentral.com/).

International: For travel that commences, terminates, or stops in any destination outside of the 50 United States, passengers of all ages are required to have a valid passport (including infants and children under the age of 18) valid for six months beyond the return date of this trip. Some countries may also require travel and/or tourist visas. Obtaining a passport and/or visa requires several weeks, so please plan appropriately. For more information about international travel, including passport validity and visa requirements, please visit the U.S. State Department Travel website, or contact your local embassy or consulate.

Please note that passport cards are not valid for international air travel.
How do I apply for a U.S. Passport? How long does it take to get one?

Visit the U.S. State Department Passport website for more information about applying for a U.S. Passport, including passport fees. Please be advised that routine processing times can be 6-8 weeks, so please plan accordingly.

We recommend taking a photo of your passport on your phone and/or emailing it to yourself in the event your passport is lost, damaged or stolen while traveling. This will help expedite the passport replacement process in the unlikely event this should occur.

PLANNING AHEAD

What will the weather be like? What should I pack?

Though cooler than other times of the year for Thailand, October is warm. The rainy monsoon season is slowing down and the weather is moving on to the dry season. See average temperatures below. Expect humidity to be around 85%.

  • Chiang Mai 72°F - 88°F (22°C - 31°C) 
  • Bangkok 77°F - 90°F (25°C - 32°C)

Pack light, comfortable clothing, including walking shorts, Capri-style pants, light trousers, short-sleeved shirts, and dresses. Make sure you pack a pair of comfortable sandals or shoes, and don't forget a swimsuit, sunglasses and sunscreen. You may want to bring layers such as a sweater or wrap, for possible cooler evenings.

How much luggage can I take?

Most carriers charge a fee for checked luggage. Please check with your airline for current fees. Baggage allowance and costs vary by destination and fare type. Your carry-on must be able to fit in the overhead compartment or under the seat in front of you.

What items should I keep with me in my carry-on luggage?

Please pack your valuables and things you will need within the next 24 hours in your carry-on luggage. These include (but are not limited to) your passport/government issued ID, credit cards/cash, laptop, cell phone, jewelry, glasses, contact lenses and solution (note size limits), and medication. Your checked bags will be inaccessible or may become lost during the trip.

What should I know about currency/cash?
It is best to bring multiple forms of payment. Credit cards are accepted almost everywhere and will give you the best possible exchange rate. They are also a great way to track travel expenses. For smaller expenses, you may wish to obtain a modest amount of local currency. Using your debit card at an ATM will be more cost-effective than using a Currency Exchange booth. Keep in mind that some U.S. banks have a safety feature that requires the cardholder to call prior to travel to authorize use of their cards abroad. You may want to call your bank prior to travel to ensure you will be able to use your card (s).
Should I purchase travel insurance?

Do I need to have health insurance coverage in order to travel?

We highly encourage all travelers to carry proof of health insurance coverage. Mandatory health insurance coverage for entry into foreign countries can be required. Participants can be denied entry into countries that request proof of health insurance coverage and are unable to provide documentation. Medicare coverage does not apply or cover any medical needs outside the U.S. unless travelers have supplemental insurance such as Medicare Advantage and Medigap.

What is the cost to bring additional guests?

If you would like to bring additional guests with you on this trip, the POINTS values are listed below. The MAXIMUM number of people in a room is three (3) 2 adults and 1 child or 3 adults.

  • 55,000 Points per person / 3rd person in same room

What is the cancellation policy for additional guest packages?
  • From date of booking until August 5, 2022: You may cancel or change your registration online and receive a full refund. 
  • From August 6, 2022 – August 19, 2022: You must submit your cancellation request via email. Cancellations will be subject to a 50% penalty.
  • From August 20, 2022 until departure: 100% penalty
EXTENDING YOUR STAY / ADDITIONAL NIGHT COST

Four Seasons Resort Chiang Mai will extend the group rate for 3 pre-nights and Shangri-La Hotel Bangkok will extend a group rate 3 post- nights based on availability. If you have additional guests staying in your room please contact us for updated per night hotel rates. Please note this rate is based on availability and due to hotel occupancies' the hotel can increase or decrease this rate at any time.

Your airfare, with our negotiated group rates, may be able to be modified with a change fee. Each situation is unique and would need to be discussed dependent upon what your deviation request might be. If you have any special requests, please be sure to include them during the registration process (including frequent flyer number, seat preferences, etc).

FLIGHT ARRANGEMENTS & INFORMATION

What kind of airfare is included in my package?

The Midwest programs includes round-trip economy class airfare for two from your home city on the group arrival and departure dates. Flight reservations are made in group blocks out of Salt Lake City, Boise and Denver. If you have any special requests, please include it in the registration process. Additional costs may apply if you choose an alternate departure city, or to extend your stay, upgrade, or travel on alternate dates. 

When and how will my flights be booked?

Once you have notified Midwest that you would like to deviate from the program dates, you will be contacted by one of the professional Flight Coordinators. Ticketing suggestions are made based on the preferences and parameters you set in your registration, and then ticketed pending your approval. Please keep in mind most itineraries will expire within 24 hours if not ticketed, and all fares are subject to change until ticketed. If you have any special requests, please be sure to include them during the registration process (including frequent flyer number, seat preferences, etc.).

How long do I have to confirm my itinerary after a Flight Coordinator has contacted me?

Fares are always subject to change and availability until ticketed, and most itineraries must be ticketed within 24 hours of booking or they expire. Replying quickly increases your chances of getting the most convenient schedule possible as well as preassigned seat assignments (subject to availability).

Will I earn frequent flyer miles for my flight?

If you have a frequent flyer account with the airline you will be flying on, you may be eligible to earn miles for your flights. Mileage accrual methods vary from airline to airline, and some tickets may not be eligible for mileage accrual as dictated by the fare rules. Can my TSA Known Traveler Number (KTN) or Redress Number be attached to my reservation?

Please provide your KTN or Redress Number during registration, if possible, or provide it to your Flight Coordinator when confirming your flights. Please be advised that the name on your ticket must match the name on your KTN application and the name on the identification you are using to travel or in order to receive TSA Pre-Check benefits.

I would prefer to book my own flights. Can I do so? If so, how do I get reimbursed?

If you choose to purchase or obtain your own air for different arrival and departure dates, an air allowance of 19,000 POINTS credit per person would be deducted off the Midwest program for you. Please remember that any deviation from the group space would require that your own transportation be obtained to the Four Seasons Resort Chiang Mai and from the Shangri-La Hotel if the dates are other than the Midwest program.

The Morris Meetings and Incentives Flight Coordinator would be happy to look into cost of tickets for a possible deviation or upgrade.

What dates/times should I book my flights to arrive/depart?

Please make your flight arrangements to arrive into Chiang Mai International Airport (CNX) and depart Bangkok (Suvarnabhumi) International Airport (BKK) on the following dates:

  • GROUP ARRIVAL DATE: October 14, 2022
  • GROUP DEPARTURE DATE: October 22, 2022

We ask that you forward your flight details by August 13, 2022 to ensure your transportation can arranged. Once we receive your flight itinerary, we will book a transfer on your behalf. If you book your flights outside of the program dates, you will need to may your own transportation arrangements between the airport and the hotels. UPGRADES

Can I pay to upgrade to First Class/Business Class/Premium Economy?

If you choose to upgrade your flights, you would need to purchase your own airfare. An air allowance of 19,000 POINTS per person would be deducted off the Midwest program as an air allowance.

Can I use my frequent flyer miles to upgrade?

Morris Meetings & Incentives does not have the ability to view mileage upgrade availability, and cannot quote the number of miles needed to upgrade. If you wish to use frequent flyer miles to upgrade, we suggest taking an air credit and speaking with your preferred airline directly.

TICKET CHANGES / CANCELLATION

Is there a fee to change my flights?

If you are utilizing the Midwest group block, please check with our Flight Coordinators to determine what options might be available.

Most airlines permit changes to be made to your ticket any time prior to departure, and most airlines require change fees in addition to the difference in fare. All airlines charge difference in fare for flight changes, even if they do not charge a fee for changes. Most airlines charge a $200 change fee for domestic flights, and some flights to Canada, Mexico, and South America; change fees for international flights can be $300-400 depending on the airline and the destination. Please check with the airline directly, if you booked it outside the group block.

What if I need to cancel? Can I use my ticket in the future?

If you are utilizing the Midwest group block, no future value is available.

If you have booked reservations outside the group program, unless otherwise stated, all tickets are non-refundable and expire one year from the date of issue. Fares are subject to change at any time based on availability, and are not guaranteed until ticketed. Any cost associated with changes made beyond the 24-hour cancellation time frame after the tickets have been issued will be at your expense, including penalty fees and applicable fare difference (fare difference may apply for changes made within 24 hours). Unless previously agreed upon, neither MMI nor the program sponsor will cover the cost of change fees or fare difference for voluntary changes and/or name corrections.

What if the name on my ticket does not match my identification?

In order to be in compliance with the TSA Secure Flight Program, both the TSA and the airlines require that the name on your reservation matches the name on the government-issued photo identification you present at the airport. This requirement supersedes any requirement for airline frequent flyer accounts to match the name on your ticket, and you may need to submit a request to have the name on your airline frequent flyer account changed to match your I.D.

Can I change the name on my ticket or my guest's ticket?

SEAT ASSIGNMENTS

Will my preferred seat type be assigned for me?

Flight Coordinators will do everything possible to assign you in your preferred seat type (e.g. window, aisle, bulkhead, etc.). However, seat requests cannot be guaranteed. If your preferred seat type is not available, a Flight Coordinator will assign the best seat type available.

Should I be concerned if I don't have a seat assignment? What if my guest and I aren't seated together?

In some situations it may not be possible to pre-assign seats at the time of booking, or assign you and your guest(s) seats together. This is either because all pre-assigned seating is full, or the airline has an open seating policy. If you do not have seat assignments when you arrive at the gate, (or if you wish to change your seat assignments), you may speak with the gate agent about available seats. A limited number of seats are held exclusively for gate agent use on the day of departure. As these seats are limited, it’s best to arrive at the gate at least an hour prior to departure for the best availability.

CHECKING IN FOR YOUR FLIGHT

24 hours prior:

We strongly suggest checking in online for your flight. Online check-in is typically available within 24 hours of flight departure time. You can also pre-pay luggage fees, reconfirm/change your seat assignment, and sign up for flight updates. If you are ticketed n a group space booking, you will only be allowed to check in on your day of departure at the airport, to find out which type of ticket you have been issued, please contact your flight coordinator.

Day of Departure:

Please reconfirm your itinerary prior to leaving for the airport, as schedule changes and flight delays are common. You can also download the airline's mobile app to access your boarding pass and view flight changes/updates.

For international flights, the standard recommendation is three hours prior to departure. However, recommended arrival times vary by airport and may be longer, so it’s best to check the airport website. This time accounts for parking, shuttles, check-in/baggage drop-off, security screening, and arriving at your departure gate no later than 30 minutes prior to your scheduled flight departure time.

At the airport:

At the check-in counter or kiosks, you’ll be asked to present your identification and check your luggage (if any). If you are checking luggage, please verify it is checked through to your final destination (CNX). Keep in mind gate assignments can change, so keep an eye on the airport monitors for flight updates.

AT THE AIRPORT

When should I be at the gate?

Most airlines close the boarding doors 10 minutes prior to the scheduled departure time to allow time to complete final paperwork and baggage loading. Whenever possible, passengers should be at the assigned departure gate no later than 30 minutes prior to the scheduled departure time for domestic flights. For international flights, passengers should arrive 45 minutes prior to scheduled departure time because gate agents will need to re-verify passports prior to boarding. Please check with the airline carrier, for their specific recommended gate time frames.

When does boarding begin?

Boarding typically begins 20-30 minutes prior to the scheduled departure time for domestic flights, and 45-60 minutes prior to the scheduled departure time for international flights. Depending on the connection airport, connecting flights may only allow as little as 30 minutes between the first flight arrives and the second flight departs. It is imperative that you get to your next gate as quickly as possible, and if needed, find a restroom within the vicinity of your next gate or use the lavatory onboard your next flight. Please check with the airline carrier, for their specific recommended boarding timeframes.

When will I receive my travel documents?

You will be emailed your personalized Travel Summary a few weeks prior to travel. We will be preparing a mobile app* which will be available several weeks prior to the trip. The app will be a wonderful and easy to use resource while you are on the go! Our app will include the agenda, trip information, answers to frequently asked questions, and more. Specifics regarding when and how to download the app will be emailed out close to the trip. We recommend downloading the app before you leave.

*Data rates will apply when you are not connected to Wi-Fi at either of the resorts. Any resulting data charges would be at your own expense.

GETTING TO THE RESORT

Will someone be there to greet me at the airport when I arrive?

Transportation will be provided for all guests who arrive on designated travel dates. After departing the aircraft, you will need to clear immigration, collect your luggage, and then pass through customs. At that point, please look for staff holding a Midwest sign and identify yourself. If you are arriving early or staying later than the designated travel dates above, you will be responsible for your own transportation.

What is the transfer time between the Chiang Mai (CNX) airport and the Four Seasons Resort?

The transfer time is approximately 32 minutes (13 miles).

What is the transfer time between the Bangkok (BKK) airport and the Shangri-La Hotel?

The transfer time is approximately 30 minutes (21 miles).

What can I do with free time outlined on the agenda?

Feel free to enjoy the facilities at the resort, including the fitness center, pool, gift shops, and restaurants. If you are interested in booking activities or tours in the area, you can do so by visiting the Midwest Hospitality Desk.

How can I stay in touch with my family and friends back home?

The hotel offers complimentary Wi-Fi, making email by far the most affordable way of staying in touch with those you leave behind. There are many popular web-based applications for staying in touch (WhatsApp, Skype, Facebook Messenger, etc.) Should you need to call however, we recommend using your cell phone or a calling card. Check with your mobile service provider prior to your departure because many offer affordable international plans. In-room phones usually charge substantial fees that must be settled upon departure.

What is the time difference?

Chiang Mai and Bangkok are both on Indochina Time (ICT).

What should I know about customs procedures?

All articles will need to be declared upon reentry into the United States, including gifts. Residents are normally entitled to a duty-free exemption of $800. Generally, one liter of alcohol per person may be entered into the U.S. duty-free by travelers who are 21 or older. Additional quantities may be entered, although they will be subject to duty and Federal excise taxes that will be assessed and collected at the port of entry. Up to 100 cigars and 200 cigarettes may also be included in the $800 duty exemption.
