PCF Hosted Costs
The Coffey-Holden
Meeting is an invitation-only meeting. For all invited speakers and
participants, the Prostate Cancer Foundation (PCF) will cover your hotel room
(including taxes and resort fees) for three-nights (Wednesday, June 14th –
Friday, June 16th). Exceptions will apply only to international travelers and
for attendees who have been invited to participate in the Challenge Award
Programmatic Review meeting held on Wednesday morning. PCF will provide meals
during the meeting. After the meeting, PCF will reimburse you for your economy
airfare travel to and from the meeting, travel meals and ground transportation
to and from the departure city airport and taxi expenses to and from the San
Diego Airport.
IMPORTANT NOTE: If
you are not a team member on a 2017 Challenge Award application, we may invite
you to participate in the Programmatic Review Meeting for these awards.The Programmatic Review is scheduled for
Wednesday, June 14, 2017 from 8:00 am – 3:00 pm at La Costa Resort with a Group
Dinner planned for reviewers the evening before at 6:30 pm. This secondary in-person review process will
help us select our Class of 2017 PCF Challenge Award recipients. Please send an email to cappling@pcf.org to confirm whether
or not you will be listed on a Challenge Award application or have a different
type of conflict-of-interest (COI). If you are sure you do not have a COI, we would like to know your
availability to attend the Programmatic Review Meeting.
Airline Reservations
PCF will only
reimburse economy round-trip airfare to and from San Diego. All attendees will
be responsible for booking their own airline travel reservations. Please click here for your reimbursable airfare stipend
amounts. We ask that you please make your airline reservations as soon as
possible in order to secure an economy fare. The closest airport to Omni La
Costa Resort is the San Diego Airport (SAN).
Arrival & Departure Times
For your travel planning, please plan to arrive at Omni La Costa Resort
Hotel by 3:00 pm on Wednesday, June 14th. On Wednesday evening there will be a
welcome reception and dinner beginning at 5:00 pm with Session I immediately
following dinner. The meeting will conclude on Saturday, June 17th by 12:00
noon.
Hotel Accommodations
PCF has reserved a hotel for you at the Omni La Costa
Resort, 2100 Costa Del Mar
Road, CA 92009 arriving Wednesday, June 14th and departing on Saturday, June 17th. Hotel check-in time is 4:00 pm and check-out time is 11:00 am. Earlier arrival exceptions will apply to international travelers and for attendees who have been invited to participate in the Challenge Award Programmatic Review
Ground Transportation
This year attendees will be responsible for arranging their own ground transfers from the San Diego Airport (SAN) to La Costa. PCF will organize departure ground transfers from La Costa Resort to San Diego Airport on Saturday, June 17th. The maximum one-way Uber or Lyft reimbursement is $70.00 to and from the San Diego Airport. La Costa Resort is approximately 32 miles from the San Diego Airport (SAN). PCF will not reimburse for any vehicle rentals or taxi cab fares exceeding the $70.00 reimbursement amount.
Expense Reimbursement
Expense reimbursements can be submitted after the meeting for your economy airfare stipend amount, ground transportation (to and from your departure city airport up to $70.00 each way) and your travel meals to and from the meeting (up to $50.00 per day). Please retain all receipts for your reimbursement. An expense form will be emailed after the meeting.
On-Site Registration
You may pick-up your
name badge and meeting materials at the registration desk, located in the
Veranda Foyer. The registration desk will be open from 3:00 – 5:00 pm on
Wednesday, June 14th.
Friday Afternoon
There is a free
afternoon planned on Friday, June 16th after lunch. For anyone who
is interested, we will have a certified fitness trainer come to the hotel and
conduct a special 1- hour circuit training session. If you are interested,
please send an email to cappling@pcf.org by
Friday, June 2nd.
