An exhibitor’s afternoon reception on the first day and second day luncheon will be held to encourage attendees to visit the booths.  Afternoon Breakout sessions and morning continental breakfasts will also encourage patrons to stop by your booth.

Please take note of the following:

The tradeshow will beheld in Cox Business Services Convention Center located at 1 Myriad Gardens, Oklahoma City, OK 73102.  The exhibit hall is not carpeted.  You are encouraged to rent carpet through the Event 1 vendor packet.
 
If you need to pin, staple, tack, products or sign, or other information we ask that you not pin, staple or tack to the drape.  Event 1 offers Presentation Boards for such needs.  You will find them in online and within the vendor packet.
 
All exhibitor vendor orders must be paid in full prior to Event 1 Productions move–in.
 
Discount Deadline: May 21, 2010 @ 4:30 PM (Central Time)
 
All freight will be received at the Event 1 warehouse and transported to the Cox Convention enter.  After the show, an Event 1 Productions representative will be available to help make shipping arrangements out of the show.  If you have an account or would like to use a carrier other than Yellow Freight, please make arrangements to have all shipments picked up by 8:00 PM on June 3, 2010.  All freight remaining at that time will be forced out to collect to Yellow Freight the following week.
 
The Cox Convention Center will not accept freight for the Oklahoma Aerospace Summit.  If you need to send freight after the deadline date and time, or have freight and drayage questions, please contact Corbin H. Potter at 918.245.8006 or Corbin@Event1inc.net for assistance.  A shipping information form will be placed in your booth, near the end of the show to help in making shipping arrangements.

Within the Ford Center and Cox Business Services Center, there is an exclusive food and beverage distribution agreement.  Exhibitors may not distribute outside food and/or drink at their booths.
 
 



Hold Harmless:
Exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend and save the Oklahoma Aerospace Alliance and its employees and agents harmless against all claims, losses and damages to person or property, governmental charges or fines and attorney's fees arising out of or caused by exhibitor's installation, removal, maintenance, occupancy or use of the exhibition premises or a part thereof.

In addition, exhibitor acknowledges that the Oklahoma Aerospace Alliance does not maintain insurance covering exhibitor's property and that it is the sole responsibility of the exhibitor to obtain business interruption and property damage insurance covering such losses by exhibitor.
