What are the key dates for open enrollment?

  • July 25 to August 26 — Open Enrollment Tool Request Form available for agencies to request open enrollment support
  • September 6 to October 14 — Available dates for onsite & virtual health fairs
  • September 19 to October 14 — CalPERS open enrollment period

What types of open enrollment support can I request?

You can request three types of resources designed help you create the right open enrollment experience for your employees:

  1. Onsite Support
    CalPERS health plans will participate in a limited number of onsite open enrollment health fairs. CalPERS health plans will answer benefit questions and provide resources about important health plan information. Live presentations for your onsite open enrollment health fairs are also available by request.
  2. Virtual Support
    Each health plan is offering a variety of virtual support resources, such as videos, high resolution PDFs, microsites, webinars, and more. A flyer with virtual resources from each health plan will be available for distribution. You can share this flyer with your employees directly through your internal or external website or by email.
  3. Printed Materials
    Health plans can provide a small supply of printed materials to your agency. Materials have been preselected by each health plan and will be shipped to the address you provide.

Onsite Event FAQ:

My agency would like to conduct onsite open enrollment events. Will CalPERS health plans attend?

CalPERS health plans will participate in a limited number of onsite open enrollment health fairs this year. However, this option will be subject to (1) city/county ordinances, and/or (2) health plan discretion. Once you submit an onsite support request, each of the Health Plan Partners will be notified and will respond individually with their availability to attend your event.

How do I request onsite support?

Beginning August 27, CalPERS agencies may contact the OE event administrator to request health plans open enrollment support.

What are some helpful tips for onsite event support?

  • Submit your request as soon as the request form is available (July 25 to August 26).
  • Schedule event dates before open enrollment begins.
  • Schedule one event per agency, if possible.
  • For smaller agencies or those in outlying areas, consider combining events to increase participation.
  • Limit events to 2 hours (health plans have difficulty attending longer events due to demands during open enrollment).
  • If your time doesn't fit in one of the 2-hour time slots, please select "other" and indicate the actual time of the event.

Can I request onsite and virtual support?

Yes. Please submit two different requests: one for onsite and one for virtual support.

How do I modify my request?

If you need to make changes to your request, use the Modify Request Form to modify your information using the email address and the unique Modify Code listed in your confirmation email.

What's my agency's role in conducting a virtual enrollment?

After you submit a request for virtual support through the request form on the Open Enrollment Tool, please upload the virtual resources sent by each health plan on your external and/or internal website and distribute to your employees by email.

What types of virtual resources will CalPERS health plans provide?

CalPERS health plans have a variety of different virtual resources, which will vary by health plan. Types of resources can include videos, high resolution PDFs, microsites, webinars, online office hours, and more.

Does my agency need to set up an open enrollment webinar?

Setting up your own open enrollment webinar can require a lot of technical management. Instead, your agency should take advantage of solutions that each health plan is offering. Some health plans can host their own webinars,* and your only job as an agency will be to distribute the necessary information to your employees. Please visit each health plan's open enrollment website to find information on live or recorded webinars.

What if I still want to set up an open enrollment webinar specifically for my agency?

Please provide your desired date and time in the notes field in your virtual support request. We recommend following up with each health plan after submitting your request. Please note, availability will vary by health plan.
