Privacy statement concerning the processing of personal data for the events of Eastern Partnership Civil Society Forum.

Eastern Partnership Civil Society Forum (the “Organiser”) contracted OFCORES (Aldenarda NV) (the “Processor”) for the event management of the 13th edition of the EaP CSF Annual Assembly held online between 30 November – 2 December 2021. Consent

If you have registered to attend the EaP CSF Annual Assembly, you agree that all the provided personal data will be processed by the Organiser and/or the Processor or their agents in accordance with this Privacy Policy.

Personal data will be processed in accordance with the General Data Protection Regulation ((EU) 2016/679), the ePrivacy Directive (Directive 2002/58/EC), and any national implementing laws, regulations and secondary legislation, as amended or updated from time to time, in Belgium (“Date Protection Laws”).

Purpose 

Data processing covers a wide range of operations performed on personal data, including collection, recording, organisation, structuring, storage, adaptation, retrieval, consultation, use, dissemination, restriction, erasure. The organiser and the processor will only collect such personal data that is relevant for the purposes described in this Privacy Policy.

In the context of the EaP CSF Annual Assembly, the data processing will be performed to: 
  • Manage the registration for 13th edition of the EaP CSF Annual Assembly, including the management of registration lists and statistics, invitations, event information dissemination, technical information and updates;
  • Manage the participation of the registered participants in the 13th edition of the EaP CSF Annual Assembly, including the video and audio recordings, attendance statistics, chat and Q&A management;
  • Send event-related communications addressed to you as an invited or registered participant to the event;
  • Process video and audio recordings for internal purposes – within EaP CSF - or for publicly available materials produced on the margins of the Annual Assembly;
  • Produce event-related reports and statistics based on processed registration and attendance data;
  • Manage the subscription to the EaP CSF newsletter;
Personal data collected and processed

The personal data is supplied by yourself during the registration process.

The personal data categories collected include:
  • Identification data necessary for the organisation and management of the event, such as the name, organisation, role within the organisation and contact details, including e-mails and phone numbers of participants (delegates/ members/ observers/ media/ staff) and speakers.
  • Technically gathered information regarding the use of the registration platform and event platform;
  • Audio and video recordings, live webstreaming on i.e. EaP CSF website/ Facebook page during the event sessions and other visual materials published on the EaP CSF website, other websites and social media accounts. You have the option to opt out of inclusion in video and audio recordings by contacting the organisers through team@ofcores.events at any time to request such opt out;
  • EaP CSF Newsletter subscriptions;

Data Controller

The Organiser is the Data Controller.

Data Processor 

On behalf of the Data Controller for the processing purposes stated in this Policy, the Data Processor is OFCORES (Aldenarda NV) - Route de Lennik 451 - 1070 Brussels. OFCORES is an event management company contracted by the Organiser for the organisation of this event.

Data storage

Your personal data uploaded through the registration process for EaP CSF Annual Assembly is processed with the platform Aventri (www.aventri.com).

Recipients of personal data

They are: the Organiser’s staff, the Organiser’s contractor for the organisation of meetings and events (the Processor), and in some instances participants, without prejudice to a possible transfer to bodies in charge of monitoring, auditing or inspection tasks in accordance with European Union legislation.

Event speaker presentations and pictures, screenshots, as well as any webstreaming and/or audio/video recording from the event may be made available on the website of the Organiser and/or on social media (see above). You have the option to opt out of inclusion in photographs and videos at the event by contacting the organisers through team@ofcores.events at any time to request such opt out.

Data retention 

Collected personal data is recorded and stored as long as follow-up actions are needed in the context of the meeting or event concerned and with a maximum period of 45 days after the event. The Data Processor and Data Controller destroy your data collected for the event through this platform after this time unless secure retention is otherwise required by applicable laws.

Contact and exercise of rights


In accordance with Data Protection Laws, you have the right to:

access, rectify, and erase your personal data,
restrict or object to processing, and
have the Organiser or Processor supply or transfer your data in portable format.

Any consent you give may be withdrawn at any time, without affecting pre-withdrawal processing.

Recourse

You have at any time the right to make a complaint regarding the processing of your personal data to the competent supervising authority.
