Registration Policies

Payment Policy

Registration fees must be paid in full by credit card (VISA, Mastercard or American Express) at time of registration.

Registration and activity fees are subject to 13% HST.

Registration Cancellations/Refunds

Until May 7, 2025 (less admin fee) – Registration fees are refundable less a $75 administration fee (plus tax) for cancellation requests received by email no later than Wednesday, May 7, 2025.

After May 7, 2025 (non-refundable) – Registration fees and social activities are non-refundable; however, substitutions are permitted within the same registration category and must be made by the original registrant. Include the replacement's name, telephone number and email address with your request.

Membership Status

A reminder that your 2025 membership dues must be paid at least 3 business days in advance of registering in order for your Member # to be recognized. Please have your Member # ready before proceeding with your registration.

Membership status is verified and in the event your membership is not current, non-member registration rates will apply. Members that require assistance with their membership number or verification of their membership status, can contact CNSF Membership Services donna-irvin@cnsf.org or (403) 229-9544 ext 103.

Eligibility for member registration rates

Members attend the CNSF Congress at a generously discounted registration fee. As a member of the Canadian Neurological Sciences Federation (CNSF) you have the opportunity to discover the benefits that CNSF membership can bring. Learn more about the Benefits of CNSF Membership.

Please note that any new membership applications must be complete and must be allowed 2 weeks for processing. New memberships are not considered active members until membership dues payment has been received in the CNSF office.

The Congress registration system will not be able to recognize you as a member until this process is complete. Non-Member rates will apply unless this process has been completed in advance.

Proof of Status is required for Non-Member Medical Students/Graduate Students and Non-Member Nurses/Technologists/Allied Health Professionals

Proof of status must be provided within 72 hours of submitting registration. Your registration is considered incomplete until your proof of status is received and verified. Send your documents by email to cnsf@intertaskconferences.com

Acceptable Proof of Status:

Students: Either a recent transcript; OR an active Student ID.
Nurses/Technologists/Allied Health: A letter from your supervisor on organization letterhead

Hotel Reservation

The CNSF has secured a block of rooms for Congress delegates at the Fairmont Château Laurier Hotel. We recommend booking your hotel as soon as your travel plans have been confirmed as we do anticipate our group block selling out.

The Fairmont Château Laurier offers multiple room options available in the CNSF room block, starting at $359 (plus fees and taxes) or enjoy a Fairmont Gold Suite for $559 (plus fees and taxes). Last opportunity for our reduced group rates will be May 9, 2025. Most sessions will be at the Rogers Centre Ottawa, except for the pre-Congress Resident courses June 8th, the Residents' Faculty Social and other general meetings to be held at the Fairmont Château Laurier Hotel, our delegate host hotel.

CNSF Congress Event App

Login information and instructions for the 'CNSF Congress' event App will be sent approximately 2 weeks prior to the start of the Congress.

ISNMI Pre-Congress Course June 7-8, 2025

The 2025 ISNMI Neuromuscular Ultrasound Course and hands-on sessions will be held June 7-8, 2025 at the Fairmont Château Laurier Hotel, prior to the CNSF Congress. This will be a unique two-day workshop with international experts giving scan demonstrations and hands-on instruction. CNSF Delegates can purchase this course during the registration process. Cost $400 CAD + HST. Space is limited.

Photo Reproduction

The CNSF reserves the right to use any photo or video image recorded at the CNSF Annual Congress. By registering for the Congress, you hereby acknowledge and agree that CNSF may photograph you at this event, as well as use the photographs in any publication or media for future educational and promotional activities/materials, without further notification or any compensation to you. For example, the selected images will assist in the promotion of future CNSF events and may be used in professional displays, advertisements, printed publications, and/or on the CNSF website. You also acknowledge and agree to waive any right to inspect or approve any future educational and promotional activities/materials that may include photographs and/or videotapes of you.

Children

The CNSF Congress is a professional development conference and as such, insurance and liability issues restrict us from allowing children in any of the Congress meeting space; including the Exhibit hall, lecture theatres and all meeting rooms. Thank you for your compliance and your understanding.
